Role Overview

The Document Controller is responsible for overseeing the project Document Management System and Digital Field Tool, implementing the Information Management strategy, and providing ongoing training and support to project teams and users. The role ensures that documentation is properly received, categorized, verified, and distributed according to the company’s Digital Project Delivery procedures and standards such as ISO 19650, BS 1192, and PAS 1192.

Key Responsibilities

  • Accurately validate, check, and manage all incoming and outgoing documents, ensuring correct receipt, classification, verification, registration, distribution, and retrieval processes.
  • Maintain central project files including site files, uncontrolled drawings, registers, and key documentation related to operation, maintenance, safety, quality, environment, and BCAR records.
  • Implement and manage change control processes effectively within the Common Data Environment (CDE).
  • Prepare and setup distribution matrices, status reporting, and workflows for submissions like samples, Technical Queries (TQs), Request for Information (RFIs), and other necessary project data.
  • Participate in project meetings to collaborate on documentation and information management issues with stakeholders.
  • Identify and apply process improvements to reduce waste and mitigate risks associated with document management and information workflows.
  • Provide coverage for other Document Controllers as required during absences.
  • Support compliance with company-wide digital project delivery procedures and standards alongside the Information Systems Manager (ISM).
  • Conduct training sessions for new users of digital tools such as Virtual File Process (VFP) and Field View (FV), individually or in groups.
  • Serve as the primary contact point for user support and coaching, including client teams, design teams, subcontractors, and supply chain partners.
  • Assist in developing and maintaining file naming conventions and workflow procedures with guidance from the ISM.
  • Continuously guide and coach project teams to ensure adherence to digital project delivery protocols.

Essential Qualifications and Skills

  • Experience managing large volumes of data and information from diverse sources on projects.
  • Strong communication skills to effectively educate all stakeholders on digital project delivery protocols.
  • Proven experience working with multidisciplinary design teams, clients, subcontractors, and supply chain partners.
  • Willingness and ability to train and mentor colleagues.
  • Knowledge of proper file naming conventions and standards.
  • Excellent organizational, prioritization, multitasking, and time management capabilities.
  • Analytical mindset with diligence and proactive self-motivation.
  • Proficiency in document preparation, formatting, and troubleshooting.
  • Advanced proficiency in Microsoft Office suite.
  • Understanding of ISO 19650, BS 1192, and PAS 1192 standards for information management.

Desirable Skills and Experience

  • Interest in project delivery processes, project administration, and involvement in the construction sector.
  • Preferably experience in infrastructure projects.
  • Experience configuring and managing systems in line with ISO 19650 standards.
  • Advanced skills in digital field tools such as Field View (FV), Dalux, or similar platforms.
