Job description

Overview

The Document Controller plays a vital role in supporting the management and organization of documents throughout engineering and construction projects. This position ensures all project-related files are correctly handled following company policies and project-specific needs.

Key Responsibilities

  • Maintain an effective document control system to track, archive, and retrieve project documentation accurately.
  • Adhere strictly to established document control procedures to meet both company and client standards.
  • Handle the intake, registration, distribution, and proper filing of engineering drawings, submittals, specifications, RFIs, and other critical project documents.
  • Carefully check documents for completeness and appropriate formatting before release or digital uploading.
  • Ensure controlled documents are distributed promptly to relevant internal teams and external parties.
  • Keep document status logs current throughout the project's duration.
  • Prepare regular reports on document control activities as needed by the project team.
  • Assist project managers, engineers, consultants, and contractors in managing documentation correctly.
  • Help maintain both electronic and physical filing systems organized.
  • Offer basic guidance to colleagues concerning document control processes and system usage when necessary.

Qualifications and Skills

  • Possess a Bachelor's degree with minimum three years of relevant experience or a Diploma with a minimum of seven years' experience.
  • Comprehensive understanding of document control concepts and practices tailored to engineering or construction environments.
  • Experience working with Oracle-based document management platforms, such as Aconex or Primavera Unifier.
  • Excellent organizational skills with strong attention to detail.
  • Good communication and interpersonal capabilities.
  • Able to manage multiple priorities, work independently, and meet deadlines efficiently.
  • Proficient in Microsoft Office applications including Word, Excel, and Outlook.
  • Familiarity with ISO standards related to document control is beneficial.
