Role Purpose
The Document Controller will oversee the complete documentation lifecycle for QP's portfolio of complex international projects. This includes guaranteeing accurate management, distribution, and availability of all technical documents, correspondence, meeting records, and project information to the appropriate stakeholders timely.
Key Responsibilities
- Oversee all project documentation, including filing, archiving, version management, and ensuring materials are accessible to designated stakeholders.
- Manage and coordinate all information issued for review, approval, and construction within the project's Electronic Document Management System (EDMS), primarily utilizing Asite.
- Handle issuance, registration, and proper distribution of official correspondence and documents between project teams, clients, contractors, subcontractors, authorities, and third-party vendors.
- Ensure smooth dissemination of technical documents throughout the project lifecycle.
- Lead the document control software, responding to documentation requests and maintaining comprehensive audit trails.
- Record minutes for all meetings and promptly distribute them to the relevant parties.
- Collaborate efficiently with internal teams to facilitate the exchange of controlled information and documentation with all concerned stakeholders.
- Ensure strict compliance of all documents with project standards, contractual obligations, and QP’s quality assurance procedures.
Candidate Profile
- Demonstrated experience of several years in document control in construction environments, preferably on complex or large-scale residential, commercial, infrastructure, healthcare, or hospitality projects.
- Degree in Construction, Project Management, or a related discipline preferred; certifications such as MRICS/FRICS or project management credentials are advantages.
- Solid knowledge of relevant construction standards, legislation, and best practices, ideally familiar with Maltese regulatory context.
- Proficiency with Asite EDMS and Microsoft Office; additional familiarity with Primavera, MS Project, BIM, AutoCAD, or related project management/design software is beneficial.
- Exceptional attention to detail with a meticulous and systematic approach to versioning, filing, and documentation accuracy.
- Strong organizational and planning abilities to manage several projects and deadlines concurrently.
