Role overview

This position is for a capable Event Coordinator to support the planning and delivery of events from Auckland. The role is fixed term from June to October 2026 and involves 30 hours per week. It is primarily based at the North Shore office, with some work-from-home flexibility. The coordinator will help deliver events across Auckland, Whangarei, Hamilton, Wellington, and Christchurch.

What the role involves

You will keep event plans moving by managing schedules, logistics, supplier communication, and venue requirements so that each event runs smoothly. The job includes liaising with clients, sponsors, restaurants, and other stakeholders, handling attendee and client questions, and providing practical support during setup, live event days, and pack-down. You will also prepare run sheets and other documentation, update budgets and reports, assist with sales and participant onboarding, coordinate marketing materials and event collateral, track performance data, maintain accurate records, and contribute ideas that improve both guest experience and client outcomes.

What we are looking for

The ideal candidate is a strong communicator who is organised, detail-focused, and comfortable managing several priorities at once. Experience in event coordination and on-site delivery is important, especially across setup, live operations, and post-event wrap-up. Customer service ability is also important, along with a professional approach to building relationships with clients, suppliers, sponsors, and internal teams. Sales or account support experience, particularly with exhibitors, sponsors, or partners, would be an advantage. You should be confident using standard office tools and basic event or CRM systems, with ticketing platform experience seen as a plus. A background in events, marketing, or hospitality is useful, and a diploma or degree in Event Management, Marketing, Communications, or a similar field is beneficial. The role also requires flexibility for evenings and weekends during event periods, plus a willingness to take on hands-on tasks when needed.

Key dates

You must be available for event work on 22 to 25 July, 3 to 8 August, and 15 to 26 October.

Working arrangement

This is a 30-hour per week fixed-term contract role, with full-time style responsibility during the assignment period. Work is based at the North Shore office with some home-based work included, and the position supports events delivered in multiple New Zealand cities.
