Guidebook offers a user-friendly mobile app platform dedicated to higher education institutions, enabling admissions and orientation teams to craft branded event apps effortlessly without technical expertise. Esteemed universities utilize Guidebook for open houses, admitted-student events, orientations, family weekends, and ongoing student engagement, helping students stay organized and connected.

Role Overview

The Event Lead will be responsible for managing Guidebook's participation at over 10 premier higher education trade shows and conferences each year. This position demands enthusiasm for event planning, excellent organizational skills, and the ability to oversee detailed logistics from sponsorship commitment through to post-event analysis. The role involves close collaboration with marketing, sales, and customer success teams to create impactful event experiences that foster relationships and drive results.

Key Responsibilities

  • Manage the complete event cycle for Guidebook's annual higher education trade shows, including sponsorship strategy and post-event analytics.
  • Oversee all logistical components such as shipping, AV and electrical coordination, signage, vendor management, booth design and maintenance.
  • Attend and represent Guidebook onsite at every event, leading booth operations and resolving any issues proactively.
  • Plan and execute pre-event promotions including email campaigns, social media announcements, and targeted advertisements.
  • Support demand generation activities by facilitating meeting bookings, lead capture, and follow-up processes to maximize pipeline contributions.
  • Organize event timelines and calendars to ensure coordination across sales, product, and customer teams.
  • Manage vendor and partner relationships, negotiate contracts, and ensure quality delivery and cost management.
  • Prepare detailed post-event reports capturing key performance data and insights for strategic improvements.

Candidate Profile

  • Passion for events and an enthusiasm for trade shows as relationship-building opportunities.
  • Deep appreciation and understanding of challenges faced by higher education institutions.
  • Remarkable organizational skills with ease in managing extensive timelines, spreadsheets, and vendor coordination.
  • Ability to remain calm and solve problems effectively during high-pressure situations.
  • Excellent communication skills, able to engage across all levels and with external partners.
  • Comfortable with frequent travel (10+ events annually, mostly in the U.S.) and public-facing responsibilities.
  • A proactive self-starter eager to take ownership and contribute to continuous improvement.
  • Interest in growing professionally toward event strategy, marketing leadership, or community building roles.

Qualifications and Experience

  • Bachelor’s degree is mandatory.
  • 1–2 years’ experience in event management, preferably within B2B, higher education, or EdTech sectors.
  • Strong written and verbal communication capabilities.
  • Experience working remotely and collaborating across multiple time zones.
  • Familiarity with Salesforce, Canva, LinkedIn Campaign Manager, video production platforms, and email marketing tools is advantageous but not required.

Performance Metrics

  • Timeliness and budget adherence for event execution.
  • Lead generation effectiveness and pipeline revenue impact.
  • Lead quality, follow-up speed, and conversion rates from event leads.
  • Accuracy and timeliness of event reporting and Salesforce data maintenance.
  • Process improvements and growth in vendor and stakeholder management responsibilities.
  • Positive feedback from internal teams and event vendors promoting repeat partnerships.

Compensation and Benefits

Annual base salary ranges from $50,000 to $60,000 dependent on experience, with an additional 10% commission based on performance against key indicators. This is a fully remote role within the United States, including travel to at least 10 events yearly. The benefits package includes full medical, dental, and vision coverage, disability insurance, unlimited vacation, and a 401(k) plan with matching contributions.
