Role Overview

We seek an Executive Assistant with expertise in managing executive-level administrative duties including calendar oversight, travel planning, expense reporting, and meeting coordination. This role demands someone proficient in document handling, including drafting and maintaining critical correspondences, approvals, and confidential files with strict version control.

Key Responsibilities

  • Efficiently organize executive schedules, appointments, travel plans, expense claims, and coordinate meeting logistics. Responsible for preparing agendas and producing minutes with thorough action item tracking.
  • Create, edit, and maintain correspondence, approval documents, trackers such as Minutes of Meetings and action logs, while ensuring secure management of confidential materials in shared digital repositories.
  • Collaborate with internal teams, vendors, and senior leaders to facilitate meetings, submissions, and follow-ups to guarantee timely completion of deliverables.
  • Oversee operational trackers related to approvals, contracts, and compliance requirements including policy adherence, data privacy, and audit preparedness.
  • Prepare comprehensive weekly and monthly reports summarizing actions taken, travel and expense updates, and outcomes of meetings, proactively highlighting any delays or risks.

Candidate Profile

  • Possess a Bachelor’s degree with 2 to 4 years of experience in executive assistance or administrative support roles.
  • Demonstrate strong skills in managing calendars, arranging travel, precise documentation, and effective stakeholder communication.
  • Proficient in Microsoft Office suite, notably Excel for tracking, PowerPoint for presentation creation, and Word for document formatting. Familiarity with electronic approval and workflow tools is also important.
  • Exhibit high ethical standards, confidentiality, meticulous attention to detail, and reliable follow-through on assignments.
  • Possess excellent communication skills, capable of prioritizing tasks effectively, and adept at managing various responsibilities simultaneously.
