About the Role
The Executive Assistant position reports directly to the Senior Executive Assistant to the President and CEO, delivering dedicated support primarily to the Legal and Human Resources departments, with occasional duties assisting the Executive Leadership Team. This role provides excellent organizational visibility and fosters connections across senior leadership while allowing for expanded responsibilities and collaboration on cross-departmental initiatives alongside the Senior EA.
Key Responsibilities
- Manage diverse executive duties such as calendar coordination, expense reporting, confidential correspondence drafting, complex travel planning, and preparation of meeting materials.
- Organize food and beverage services including ordering and logistical setup for executive events and meetings like the APEI Board of Directors sessions.
- Support the Senior Executive Assistant with special assignments, Board logistics, and leadership gatherings as required.
- Occasionally travel to corporate sites to assist with meetings and events.
- Handle payments and reimbursements in accordance with the organization's accounts payable processes.
- Offer backup and supplementary assistance to the Executive Leadership Team as coordinated with the Senior EA.
- Develop strong cross-department relationships to enhance communication and teamwork.
- Maintain executives' contact information and manage both electronic and physical filing systems.
- Perform office duties including document copying, compiling binders, and updating files and spreadsheets.
- Maintain familiarity with company travel policies and coordinate with travel service providers, overseeing travel reporting.
- Undertake special projects and miscellaneous assignments that support the greater APEI organization.
Qualifications and Skills
- Minimum of two years assisting C-level executives, preferably within a publicly traded company.
- Proactive mindset with effectiveness in fast-paced, deadline-oriented settings.
- Exceptional organizational aptitude to manage and prioritize multiple simultaneous tasks with keen attention to accuracy and detail.
- Strong interpersonal and collaboration skills for building effective cross-functional relationships.
- High proficiency in written and oral communications.
- Demonstrated discretion and professionalism in handling confidential matters.
- Sound decision-making skills and resourcefulness as a committed team player.
- Advance planning capabilities to foresee and mitigate potential issues.
- Experienced in maintaining confidentiality, managing competing demands, and delivering outstanding client service.
- Expert use of Microsoft Office Suite, Teams, Zoom, and other digital collaboration platforms suitable for remote work environments.
- Adaptable, cooperative, and enthusiastic about learning and supporting varied administrative needs.
Work Environment, Physical Requirements, and Travel
- Flexible work location including remote with occasional required travel to core offices in Fort Lauderdale, FL and Charles Town, WV.
- Must have a high-speed internet connection and dedicated workspace at home.
- Physical demands include frequent lifting/moving of up to 25 pounds and prolonged periods of sitting.
- Job entails travel including same-day and overnight trips to off-site meetings and events.
Education
A Bachelor's degree is preferred but not mandated.
