About The Role

We are looking for an Executive Assistant who is highly organized, proactive, and flexible to provide top-level administrative support to the Chief of Staff to the CEO. This role demands great attention to detail, excellent communication, and the ability to juggle multiple priorities in a fast-moving work environment. The candidate must uphold confidentiality, exercise good judgment, and show initiative.

This position requires physical presence five days a week at our Midtown Manhattan office with minimal travel.

Key Responsibilities

  • Manage intricate calendars involving coordination of internal and external meetings across various time zones
  • Arrange both domestic and international travel plans and compile detailed itineraries
  • Handle expense reports, purchase orders, and invoice processing promptly
  • Prepare meeting agendas, document minutes, and ensure follow-up on action items
  • Serve as a communication bridge between leadership and internal/external stakeholders
  • Effectively prioritize duties and manage time between different executives
  • Assist in creating presentations, formatting reports, and managing internal communications
  • Organize and maintain files, documents, and company records
  • Coordinate team activities including events, offsite meetings, as well as virtual and in-person meetings
  • Support the onboarding process for new employees or external vendors

Qualifications and Skills

  • Minimum of five years' experience assisting senior executives within a global company preferred
  • Excellent organizational, multitasking, and time management capabilities
  • Strong written and verbal communication proficiency
  • Advanced skills in Google Suite (Docs, Sheets, Slides, Drive, Gmail, Calendar) along with familiarity with Zoom, Concur, and Slack platforms
  • Demonstrated ability to deal with confidential information discretely
  • A proactive, resourceful attitude with strong ownership and follow-through skills

Base salary range for this role is between $110,000 and $140,000 annually. Compensation is competitive and may vary based on experience, skills, location, and other relevant factors. Bonus targets depend on market benchmarks and individual contributions.
