About the Role

As an Executive Assistant, you will play a key role in supporting one or more executives by helping achieve departmental goals and initiatives in line with business strategies and policies. Ensuring compliance with regulations and internal procedures is an essential part of this job.

Key Responsibilities

  • Provide comprehensive administrative assistance to executives, requiring discretion, confidentiality, and a strong grasp of business terminology and organizational operations.
  • Effectively prioritize executive meetings and events, discerning which require attendance based on importance.
  • Collect, verify, and analyze data to create various documents such as memos, reports, presentations, and speeches for executive use.
  • Perform duties independently, including preparing documents, screening correspondence and calls, drafting communication, arranging meetings, and recording minutes.
  • Coordinate Senior Credit Committee and Portfolio Management Forum meetings: prepare agendas, distribute materials timely, support logistics, and document proceedings.
  • Ensure committee meeting notices and associated documents are sent at least 12 hours in advance.
  • Supervise and approve routine expenditures, maintaining alignment with established budget limits and performing monthly variance analyses.
  • Serve as the primary liaison and coordinator for departmental initiatives, aligning activities with the bank’s risk appetite, operational and regulatory compliance standards.
  • Promote a high-performance work environment by fostering inclusion, communicating company vision and values, and managing team succession and development planning.

Skills and Qualifications

  • Prior experience supporting senior-level executives.
  • Bilingual proficiency in English and Spanish is advantageous.
  • Strong understanding of business and banking terminology and departmental processes.
  • Exemplary professionalism and ability to handle confidential information with discretion.
  • Capability to adapt and manage competing priorities in a dynamic environment.
  • Advanced skills in Microsoft Office Suite, including Excel, PowerPoint, and Outlook.
  • Excellent organizational, communication, and problem-solving abilities.
