HR Coordinator Role Overview
Fanatics Collectibles is seeking an organized, proactive, and detail-oriented HR Coordinator to provide essential operational and administrative support to the Human Resources team. This role will also serve as a primary point of contact for employees, addressing a variety of HR-related inquiries and processes. The ideal candidate will be adept at utilizing AI tools to enhance efficiency, develop documentation, and improve the overall employee experience. Key responsibilities include supporting employee inquiries, managing leave administration, assisting with timekeeping, facilitating contractor conversions, maintaining HR systems, and documenting processes to foster a compliant, scalable, and user-friendly work environment. This position is based in New York, NY.
Key Responsibilities
- Collaborate closely with the HR team to provide comprehensive support.
- Maintain the security, integrity, and confidentiality of all internal data.
- Serve as a primary contact for employee questions regarding payroll, benefits, and leaves of absence.
- Act as a first point of contact for HR-related inquiries, concerns, and requests, ensuring prompt resolution or appropriate escalation.
- Administer and explain company policies, procedures, and programs.
- Manage and maintain employee databases, generating necessary reports for departmental and company functions.
- Interpret and communicate human resources policies, procedures, and standards to employees.
- Liaise with HR specialist groups (Learning & Development, Talent Acquisition, HRIS, Benefits, Payroll) to ensure timely and accurate responses to employee queries.
- Update and maintain interdepartmental resources and data to ensure compliance and accurate record-keeping within company systems.
- Manage personnel files and HRIS actions, including supporting new hire and termination processes, tracking disciplinary actions, and ensuring compliance with HR legal standards.
- Coordinate leave of absence administration, including tracking requests, maintaining documentation, and collaborating with stakeholders for compliance and a positive employee experience.
- Assist with timekeeping and payroll processes, resolving discrepancies and partnering with managers and Payroll for accurate reporting and timely approvals.
- Oversee contractor-to-employee conversion processes in partnership with Talent Acquisition, Hiring Managers, and HR Business Partners, ensuring a smooth transition and accurate system updates.
- Utilize AI tools to boost efficiency, streamline administrative tasks, and enhance HR service delivery.
- Develop Quick Reference Guides (QRGs), process documentation, and training materials using AI and other digital resources.
- Maintain and enhance HR content and knowledge management resources, including Notion pages and internal FAQs.
- Document, evaluate, and recommend improvements to HR processes and workflows for operational excellence and scalability.
- Identify opportunities for automation and process optimization across HR operations and the employee lifecycle.
- Assist with broader departmental initiatives and events as needed.
Qualifications
- Bachelor’s degree or equivalent experience is preferred.
- 1-3 years of experience in Human Resources, People Operations, Employee Services, HR Coordination, or a similar field.
- Familiarity with HR systems, HR management practices, compliance rules, and employment regulations is advantageous.
- Demonstrated ability to use AI tools (e.g., ChatGPT, Gemini, Copilot) for productivity, documentation, training, and process support.
- Experience in creating and maintaining process documentation, knowledge bases, SOPs, or Quick Reference Guides.
- Preferred experience with leave administration, timekeeping/payroll coordination, and employee lifecycle processes.
- Strong interpersonal skills and the ability to collaborate effectively within a team.
- Excellent problem-solving abilities with the capacity to manage multiple priorities and identify process improvements.
- Proficient written communication skills for creating clear documentation and training materials.
- Exceptional organizational and time management skills, with the ability to multitask in a dynamic startup environment.
- Ability to maintain professionalism and strict confidentiality, exercising discretion in all interactions.
- Comfortable working in an entrepreneurial, high-growth setting with evolving priorities and rapid decision-making.
- Willingness to travel occasionally to Fanatics offices for events, meetings, and team-building activities.
