Role Overview

The Human Resources and Administration Coordinator position is based in Freetown, Sierra Leone, offering a 12-month contract with the potential for extension. This role centers on supporting and coordinating human resources and administrative duties across the organization. Responsibilities include aiding managers and staff in recruitment, selection, onboarding, and day-to-day HR support while ensuring adherence to policies and compliance with local labor laws. Approximately 30% of the job involves field visits to support regional offices and uphold HR standards throughout the country program. In emergency situations, flexibility to extend working hours and duties is expected.

Key Responsibilities

  • Assist in developing HR strategy, policies, and procedures aligning with organizational goals and local laws.
  • Contribute to reviewing employment terms, conditions, and the HR manual to keep them current.
  • Maintain the organizational chart and support recruitment by reviewing job descriptions, coordinating advertising channels, and ensuring prompt staff deployment following safe recruitment practices.
  • Coordinate induction sessions and track participant feedback to ensure effective onboarding.
  • Support performance management processes by monitoring appraisal cycles, facilitating training plans based on developmental needs, and maintaining training records.
  • Provide advice and support to line managers on HR matters, team building, conflict resolution, and disciplinary actions.
  • Manage HR operations including staff registers, attendance tracking, payroll documentation, confidentiality of personnel data, and HR information system maintenance.
  • Engage collaboratively with finance and other departments to reconcile absences and support payroll processing.
  • Participate in safeguarding efforts, including case management support and reporting mechanisms.
  • Build relationships with other NGOs, government ministries, and stakeholders to promote organizational initiatives in Sierra Leone.

Qualifications and Experience

  • Bachelor's degree in Human Resource Management, Business Administration, or a related discipline.
  • At least two years of relevant experience in human resource functions.
  • Strong grasp of employee relations principles and workplace dynamics.
  • Familiarity with Sierra Leone's labor laws and HR best practices.
  • Excellent communication skills in English, both written and verbal.
  • Proficiency with Microsoft Office and capability to perform research effectively online.
  • Detail-oriented, highly organized, with discretion in handling confidential information.
  • Self-motivated, capable of working independently, managing multiple priorities, and performing under pressure.
