About the Organization

The organization acts as a digital and communications nucleus for the progressive movement, supporting state-based hubs that secure electoral and policy gains. It functions as a foundational infrastructure engaging millions through data-driven strategies, digital content, and broad expertise. The network consists of 28 affiliates that serve as marketing assets for the progressive community, aligning communications and strategies for enhanced impact across campaigns and coalitions.

Position Overview

The Operations Coordinator is tasked with overseeing essential operational activities to advance the organization's mission. This role guarantees seamless event logistics, manages payroll and financial duties, ensures compliance adherence, and handles human resources processes, contributing to the organization's efficiency and allowing the team to focus on strategic communication and movement-building goals.

Key Responsibilities

  • Coordinate event logistics for two yearly conferences and a staff retreat
  • Support grant compliance and facilitate reporting procedures
  • Supervise full payroll operations via a professional employment organization
  • Assist with month-end financial closing including cost-sharing allocation calculations
  • Manage accounts payable and receivable through Bill.com with bookkeeping assistance
  • Arrange travel and lodging for personnel
  • Administer company credit cards, including reconciliation and receipt collection
  • Organize and maintain corporate files, records, and coordinate meetings
  • Oversee vendor agreements, leases, regranting efforts, and annual 1099 tax filings
  • Execute general human resources duties such as job posting, onboarding/offboarding, timesheet management, and employee record maintenance
  • Update employee handbook and monitor professional growth activities
  • Maintain compliance schedules including registrations and deadline tracking
  • Perform additional duties as assigned

Qualifications and Experience

  • 2-3 years’ experience in nonprofit operations with familiarity of 501(c)(3) and 501(c)(4) regulations
  • Competence with QuickBooks, general accounting software, and accounting standards
  • Availability to work within Eastern or Central time zones; proximity to Charlottesville, VA is advantageous but not mandatory
  • High degree of discretion and confidentiality
  • Exceptional attention to detail and organizational capabilities
  • Intellectual curiosity and a willingness to learn
  • Strong communication skills, both verbal and written
  • Ability to collaborate effectively within a remote team structure
  • Dedication to principles of racial equity, diversity, and social justice

Compensation and Benefits

  • Starting annual salary of $55,000
  • Unlimited vacation policy with a minimum of two weeks taken annually
  • Eight paid holidays plus a company closure from Christmas through New Year’s Day
