About the Role
The Patient Access Scheduling Representative helps keep patient flow organized by handling scheduling and access-related tasks. The role ensures appointments are booked correctly, patients receive the right preparation details, and insurance coverage and authorization needs are checked in advance, helping create efficient operations and a smooth patient experience.
Key Responsibilities
- Book, confirm, and update patient appointments according to team procedures.
- Share pre-service instructions so patients know how to prepare.
- Work with referring and ordering providers to coordinate the right services.
- Collect and maintain demographic, insurance, and billing details for accurate registration.
- Check insurance eligibility and determine whether prior authorization is needed.
- Verify patient identity and ensure the correct Medical Record Number is assigned.
- Make sure orders, authorizations, lab results, and other required documents are complete.
- Request outside medical records when they are needed for scheduled care.
- Provide strong customer service to patients, providers, and internal teams.
- Handle patient and provider messages quickly and accurately.
- Assist clinicians, technologists, and colleagues with scheduling and access support.
- Carry out additional duties as assigned.
Requirements
- High school diploma, GED, or an equivalent qualification is required.
- An associate degree or technical degree in business, or similar relevant experience, is preferred.
- At least 1 year of customer service experience is required, ideally in healthcare or another service-focused setting.
- At least 1 year of experience in Patient Access, Revenue Cycle, a physician’s office, healthcare insurance, or a related area is required.
