Role Overview

We are looking for a Project Coordinator with a deep tech focus to assist in managing operations that support Infleqtion's quantum computing objectives. The ideal candidate will possess strong operational discipline, eagerness to learn and develop processes, and a willingness to assist colleagues by handling operational tasks, ensuring nothing is overlooked.

Responsibilities

  • Manage daily operational duties, including minor equipment upkeep (such as UPS batteries and monitors), inventory tracking, order management, and liaising between shipping, IT, vendors, and engineering/R&D teams.
  • Support project proposals by aiding in statement of work preparation and budget planning; after project approval, assist technical leads in tracking deliverables, schedules, budgets, inventory, procurement, subcontractor communication, and progress updates. Collaborate with technical teams to align resources with goals, and help manage risk, tasks, dependencies, and milestones.
  • Serve as the main liaison among Quantum Computing R&D, Engineering, Program Management, and other departments like finance, facilities, marketing, and legal to facilitate communication.
  • Maintain and enforce internal protocols relating to export controls, IT security (including secure data handling), legal confidentiality, reliability monitoring, and follow-up on outstanding IT and compliance requests.
  • Assist with complex scheduling, facilitate scrum and other ad hoc meetings, monitor action items, and help with training sessions, timesheets, and internal communications.
  • Maintain tools and reporting systems such as Jira (scrum boards, Gantt charts, purchase requests), track operational reliability and adherence to procedures, ensure meeting notes are documented in Confluence, address charge code inquiries, and support timesheet completion using calendar data.

Requirements

  • Demonstrate a rapid learning ability and adaptability to quickly master new tools, workflows, and processes with minimal guidance in a fast-evolving technical environment. Proactively pursue documentation, ask insightful questions, and utilize new knowledge autonomously.
  • Proficient in using search engines and AI tools like ChatGPT for information gathering and problem-solving prior to engaging team members.
  • Exhibit outstanding organizational skills with diligence in tracking multiple projects, maintaining dashboards, following up persistently, and ensuring thorough task completion.
  • Excellent communication skills with the ability to professionally coordinate and manage stakeholders across teams and vendors, navigating conflicting priorities and varying response times.
  • Strong process awareness and discretion to uphold compliance, security, export controls, and confidentiality standards, exercising sound judgment and trustworthiness.
  • Self-motivated problem-solver who identifies operational gaps, proposes enhancements (such as new templates and tracking methods), and independently manages issues.
  • Proven expertise in scheduling complex meetings, resolving calendar conflicts, and facilitating recurring team processes such as stand-ups and reviews.
  • Meticulous attention to detail in documenting, tracking, labeling, reporting, and adhering to procedures, ensuring no operational or compliance errors.
  • Physical capability to perform light manual tasks including equipment relocation, package handling, and setup within secure lab or office settings.

Preferred Experience

  • At least 2 years in operations, administrative support, or project coordination roles, ideally supporting technical or engineering teams.
  • Familiarity with collaboration and project tracking software like Jira, Confluence, time-tracking platforms (e.g., TSheets), Microsoft Office, calendar management, and basic inventory or ticketing systems.

Education

Bachelor of Science degree preferred.
