About the Role
VeraSafe is looking for a highly organized Project Coordinator to help drive privacy and cybersecurity compliance work from start to finish. This is a practical, execution-heavy position that requires excellent written communication, careful coordination, disciplined task tracking, and meticulous documentation. You will work closely with attorneys and IT security professionals to keep projects moving efficiently and aligned with client expectations.
The role is a strong fit for someone with project coordination or project management experience. VeraSafe is also open to applicants who have worked in executive or administrative support and want to build a project management career in a legal consulting environment.
A short skills assessment will be part of the initial selection process.
Key Responsibilities
- Plan, coordinate, and carry out project activities within the agreed scope, timeline, and budget.
- Keep project files, tasks, and records accurate, current, and well organized.
- Arrange client and internal meetings, manage calendars across time zones, and make sure key deadlines and sessions are scheduled correctly.
- Join client and internal meetings and prepare detailed, accurate minutes with action items, assigned owners, and due dates.
- Track project status, prioritize critical tasks, identify risks or obstacles early, and share updates with recommended next steps.
- Maintain regular communication with attorneys, colleagues, and clients about progress and upcoming actions.
- Follow internal processes, standards, and best practices consistently.
- Help coordinate workloads across the team.
- Support the documentation and improvement of business processes.
Experience and Requirements
- At least 4 years of experience in project coordination or project management.
- Proven experience in writing detailed meeting minutes and managing action items.
- Background in professional services, consulting, legal, or technology settings is preferred.
- Experience with IT, cybersecurity, or compliance-related work is a strong advantage.
- Strong attention to detail and excellent organizational skills.
- Clear written and spoken English communication skills.
- Ability to handle several priorities and deadlines at once.
- Proactive, practical, and solution-focused working style.
- Comfort working collaboratively as part of a team.
- Able to perform effectively in a busy, fully remote environment.
- Comfort using productivity and project tools such as Google Workspace, Microsoft Office, Asana, Jira, and Teamwork.
Preferred Education and Background
Preferred qualifications include project management certifications such as CAPM or PRINCE2 Foundation, familiarity with Agile methods, and a background in legal studies, IT audit, or cybersecurity.
