Role Overview
The Project Manager will be entrusted with supporting clients in the execution of internal and external events and conferences, ensuring exceptional service with meticulous project coordination and inventive solutions. This role demands managing the entire event lifecycle including planning, coordination of logistics such as registration, accommodation, transportation, entertainment, audio/visual needs, webcasts, staging, and speaker management, as well as post-event financial reconciliation. Onsite travel—both local and international—is a necessary part of this position.
Primary Responsibilities
- Handle end-to-end planning and delivery of multiple events, which may be virtual, in-person, or hybrid.
- Manage financial aspects including budget creation, expense tracking, invoice processing, and final financial reporting following each event.
- Source, negotiate, and oversee contracts with venues and suppliers effectively.
- Coordinate comprehensive event components such as registration, catering, transportation, lodging, entertainment, gifts, technical needs, and speaker arrangements, emphasizing strong vendor management.
- Collaborate closely with internal teams including Marketing (for collateral), Production (for audio-visuals), Event Technology (for digital infrastructure), Data (for attendee management), and Legal/Compliance departments.
- Lead virtual event planning and execution, selecting appropriate platforms, managing timelines, invitation processes, and maintaining active communication among stakeholders.
- Work collaboratively with colleagues and clients on larger scale events, demonstrating strong teamwork.
- Ensure adherence to client policies and compliance with risk management standards.
- Travel as needed for site inspections and on-location event management to guarantee seamless logistics coordination.
- Conduct thorough post-event analysis including attendee data review, budget closure, feedback collection, and client debriefing to foster continuous improvements.
- Periodically share insights on best practices, new vendors, and venue options.
Candidate Profile
- Possess between 5 to 7+ years of event management experience, ideally in corporate or financial sectors.
- Experience organizing conferences, meetings, high-level executive events, cocktail receptions, dinners, and multi-day gatherings.
- Skilled in managing senior client relationships with professionalism.
- Proficient in Microsoft Office, particularly PowerPoint and Excel.
- Self-motivated, capable of working autonomously with innovative and strategic thinking.
- Strong multi-project management abilities with a proven track record of meeting deadlines under pressure.
- Experience with virtual event platforms such as Webex and Zoom is favorable.
- Exhibit leadership, negotiation, decision-making, and influence skills.
- Adaptable and resourceful, able to work independently while following guidance and proposing creative solutions.
- Emphasize customer focus, approachability, and adaptability to diverse client needs and styles.
- Excellent verbal and written communication skills.
- Organized, proactive, and ambitious professional.
- Willingness to travel for site visits and on-site event management.
- Familiarity with managing large, complex databases; experience with Cvent is preferred.
- Knowledgeable about venues and suppliers in key Asia-Pacific cities.
