Role Overview
The Recruiting Coordinator keeps the hiring process organized, timely, and candidate-friendly. You will be the operational point person for interview logistics, candidate communication, and coordination across Planet’s global recruiting efforts. This role connects closely with hiring managers, Talent Acquisition Partners, executive assistants, candidates, and the wider People team.
This is a full-time position based in the Washington, DC office and reports to the Senior Manager, Talent Operations.
Key Responsibilities
- Arrange interviews of every kind, including phone screens, panel discussions, and executive debriefs, while balancing multiple time zones, calendars, and interviewer preferences.
- Act as the main contact for candidates during the interview process and make sure every interaction is clear, welcoming, and punctual.
- Keep Greenhouse records complete, accurate, and ready for audit, including candidate stage updates, scorecard progress, interviewer assignments, and offer information.
- Work with Talent Acquisition Partners to keep pipelines moving by identifying blockers, escalating delays, and resolving scheduling issues early.
- Help improve recruiting coordination practices by suggesting better templates, calendar standards, and process documentation that can scale with the team.
- Support candidate experience efforts such as survey follow-up, disciplined debriefs, and feedback loops that improve execution.
What You Need
- At least 1 year of professional experience in coordination, scheduling, customer service, operations, or a similar role involving multiple stakeholders and strong detail management.
- Strong accuracy and attention to detail, with a habit of getting calendar invites right the first time and ensuring names, links, and details are correct.
- Excellent written and spoken communication skills, with a friendly and professional style for emails and chat.
- Comfort using Google Calendar and video tools such as Zoom or Google Meet, plus a readiness to learn recruiting tools like Greenhouse and GoodTime.
- Ability to balance competing priorities and adapt quickly when plans change or hiring needs shift.
- Strong service mindset when working with candidates, hiring managers, and interviewers.
- Ability to stay organized independently and manage a heavy workload without constant supervision.
Preferred Experience
- Background in recruiting coordination, talent operations, or executive assistant work.
- Practical exposure to Greenhouse, GoodTime, or similar recruiting and scheduling systems.
- Experience supporting teams across multiple time zones, including the U.S. East Coast, U.S. West Coast, and Europe.
- Experience in project management, process improvement, or operational excellence.
- Interest in building a long-term career in People, Talent, or HR, with curiosity about how recruiting operations grows as a company scales.

Compensation
The US base salary range for this full-time role at the start of employment is USD 55,700 to USD 69,600 annually. The role may also qualify for discretionary short-term and long-term incentives, including bonus and equity. Final compensation will depend on relevant experience, skills, and location.
