Job Overview
The Representative acts as the liaison for the College of Engineering, engaging with government agencies, private sector entities, embassies, and various external partners. The role includes transportation duties using official college vehicles to ferry staff, visitors, and documents safely. Responsibilities also encompass managing delivery and collection of official papers with external organizations, coordinating communications, and organizing appointments. Maintaining confidentiality and adhering to administrative procedures are critical aspects of the job.
Responsibilities
- Represent the College during interactions with government bodies, embassies, and private organizations.
- Operate college vehicles to transport personnel and official documents efficiently and safely.
- Deliver and retrieve official documents from external entities.
- Follow up on official correspondence and coordinate actions with external stakeholders.
- Respond promptly to inquiries and support the organization of appointments.
- Maintain confidential records securely and handle official documents appropriately.
- Ensure cleanliness, conduct routine inspections, and perform basic upkeep of assigned vehicles.
- Comply with traffic laws and university regulations.
- Perform additional duties as assigned to support college operations.
Qualifications and Skills
- High school diploma (maximum educational requirement).
- Up to three years of experience in a similar role.
- Proficiency in English and Arabic communication.
- Familiarity with office coordination, document handling, and organizational procedures.
- Knowledge of customer service principles and public interaction skills.
- Understanding of administrative policies and procedures.
- Valid UAE driving license.
- Preferred: Strong customer service orientation.
- Preferred: Experience interacting with government bodies, embassies, and external organizations.
- Preferred: Ability to work flexible hours during college events.
