About the Role

We are seeking a Virtual Executive Assistant to deliver exceptional administrative support remotely to executives and leadership teams. This role focuses on managing schedules, facilitating communication, organizing meetings, and ensuring smooth daily operations. Your contributions will directly support the productivity and effectiveness of our leadership and overall organizational success.

Key Responsibilities

  • Oversee executive calendars by scheduling meetings, appointments, and sending reminders.
  • Manage incoming emails and communications, prioritizing and responding when necessary.
  • Maintain professional and clear correspondence on behalf of executives, handling internal and external communication.
  • Track tasks, deadlines, and priorities to guarantee timely completion and organized workflows.
  • Follow up on action items from meetings and communications to support task completion.
  • Assist with daily administrative workflows ensuring full documentation and tracking of activities.
  • Coordinate all meeting logistics including agendas, relevant materials, and virtual meeting setup.
  • Take detailed notes during meetings and distribute summaries or action points.
  • Arrange travel plans, bookings, and itineraries aligning with executives' priorities.
  • Prepare and format documents, reports, presentations while maintaining digital records.
  • Support data entry and information management ensuring accuracy and accessibility.

Required Qualifications

  • Excellent written and verbal communication skills in English.
  • Prior experience in administrative roles, preferably as an executive assistant or coordinator.
  • Outstanding organizational and time management skills.
  • High discretion and professionalism in managing confidential information.
  • Ability to multitask effectively and manage competing priorities.
  • Proficient with digital platforms, calendars, and collaboration tools.
