Introduction
Ventia invites applications for two Contract Administrator positions within our Across Government Facilities Management Arrangements (AGFMA) team based in Adelaide. This significant contract supports over 5,000 government properties across 48 agencies including schools, hospitals, emergency services, and office spaces, playing a vital role in ensuring these facilities operate safely and sustainably.
Role Overview
Reporting directly to the Commercial Manager, you will be tasked with providing precise and timely administration related to both head contract and subcontract obligations. This involves close collaboration with commercial and operational departments to keep contract documentation current, track contractual commitments, facilitate correspondence, and ensure compliance.
Key Responsibilities
- Maintain detailed registers of contracts and subcontracts, managing all contractual communication, notices, claims, and documentation to track and fulfill obligations efficiently.
- Support commercial functions by assisting the Commercial Manager and operational teams in monitoring contract deliverables, handling variations, and managing approvals.
- Ensure adherence to contract compliance, delegation authorities, and governance policies, maintaining audit-ready and accurate records.
- Organize and uphold preparation of reports, submissions, and other critical contract-related documents to aid decision-making processes.
- Foster productive relationships with internal teams, subcontractors, and clients to support contract execution and resolve issues.
- Contribute to continuous improvement and risk mitigation efforts by identifying contractual risks, assisting in issue resolution, and enhancing operational controls and processes.
Candidate Profile
- Hold a relevant qualification in Business, Commerce, Contract Management, Project Management, Accounting, Finance, Law, or demonstrate equivalent professional experience.
- Proven experience in Contract Administration or Commercial Administration roles, with a strong grasp of document control, contract registers, and compliance principles.
- Excellent organizational skills with the ability to prioritize effectively in a dynamic environment.
- Strong interpersonal and communication skills to build relationships across commercial, operational, and client interfaces.
- Proficient in Microsoft Office suite and experienced with contract management or business software systems.
- Adopt a proactive, solution-oriented mindset focused on continuous improvement and achieving positive commercial results.
