Role overview
We are looking for a seasoned Document Controller to support logistics and exploration operations in Saudi Arabia. This position focuses on keeping operational records accurate, traceable, compliant, and ready for review at any time. The role also helps keep document flow organized across logistics, inventory, fleet, accommodation, catering, housekeeping, and procurement activities.
Key responsibilities
- Oversee the organization and upkeep of logistics and operational paperwork, such as delivery slips, shipment files, inventory records, purchase requisitions, purchase orders, invoices, and operational summaries.
- Set up and maintain document control workflows, numbering or coding methods, filing structures, and register logs.
- Make sure files are checked, shared, stored, and quickly accessible in both paper and electronic form.
- Work with procurement, inventory, fleet, accommodation, and field teams to gather, validate, and preserve complete records.
- Use Microsoft Excel, SharePoint, or other approved tools to manage digital document systems.
- Compile daily, weekly, and monthly status updates for management.
- Assist internal and external audits by keeping records complete, compliant, and ready for inspection.
- Protect the confidentiality of logistics, procurement, financial, and operational information.
- Help improve document management processes and support the move toward digital filing.
- Carry out other administrative and document control tasks that support logistics operations.
Qualifications and requirements
- A diploma or bachelor’s degree in Business Administration, Records Management, Logistics, or a closely related field is preferred.
- At least 3 to 6 years of experience in document control, records handling, logistics administration, or project support is required.
- Hands-on experience with digital document management platforms such as SharePoint or similar systems is needed.
- Strong working knowledge of Microsoft Excel, Microsoft Office, and electronic document control tools is essential.
- A solid understanding of logistics workflows, procurement paperwork, inventory tracking, and fleet coordination is important.
- Experience supporting audits and following document control compliance standards is expected.
- Excellent organization, precision, and attention to detail are required.
- Strong communication and coordination abilities with internal staff and external parties are needed.
- Prior exposure to industrial, construction, mining, or remote-site environments will be considered an advantage.
