About the Role
The Human Resource Assistant plays a pivotal role in supporting the HR team by managing and facilitating all stages of the new employee onboarding process. This position ensures every new hire experiences a seamless introduction to the organization through diligent handling of pre-employment paperwork, system integrations, compliance requirements, and first-day preparations. As a key liaison, the assistant collaborates closely with managers and HR staff to foster a welcoming and efficient onboarding journey.
Key Responsibilities
- Coordinate and oversee the complete onboarding workflow for all new employees from the moment of offer acceptance through their initial day.
- Prepare and distribute new hire electronic documents, ensuring prompt completion of essential forms such as I-9, tax paperwork, direct deposit, and confidentiality agreements.
- Accurately input new hire information into HRIS, payroll, and other related platforms including Net Health, iCIMS, UKG, or equivalents.
- Assign onboarding checklists, training sessions, and regulatory compliance modules, tracking their progress and completion.
- Maintain and regularly verify personnel files for completeness and adherence to compliance standards.
- Communicate with hiring managers to confirm onboarding specifics, first-day logistics, and orientation plans.
- Respond promptly to new hire inquiries related to benefits enrollment, company policies, and general HR matters.
- Monitor onboarding metrics and generate reports for HR leadership to review.
- Contribute to the ongoing refinement and enhancement of onboarding procedures aimed at increased efficiency and candidate experience.
- Provide support for miscellaneous HR administrative duties as required.
- Demonstrate the ability to customize treatment sessions individually.
- Follow a Monday through Friday schedule without obligations on weekends or holidays.

Candidate Qualifications
- Minimum education of a high school diploma or equivalent; associate’s or bachelor’s degree in Human Resources, Business Administration, or related fields preferred.
- One to two years of experience in HR or administrative roles, particularly with onboarding responsibilities favored.
- Exceptional attention to detail combined with strong organizational capabilities.
- Excellent verbal and written communication skills alongside interpersonal effectiveness.
- Proficiency in HR information systems and Microsoft Office; familiarity with applicant tracking systems is a plus.
- Capability to manage confidential data discretionarily.
Compensation
The hourly wage ranges between $18 and $20 USD.
