Role Overview
This role within the Group Procurement team in Auckland focuses on ensuring compliance with governance and government regulations while supporting procurement category management and analytics. The Procurement and Contract Coordinator assists with contract preparation, document control, and other procurement administrative duties.
Key Responsibilities
- Support business processes by developing SIPOC maps and maintaining them in Visio and ARIS repositories.
- Analyze category data and provide insights for business stakeholders.
- Ensure adherence to Government Procurement Rules and KiwiRail's procurement policies.
- Conduct sourcing activities including evaluating responses, facilitating moderation meetings, and making supplier recommendations.
- Assist in drafting contracts and variations with relevant KPIs and risk management measures.
- Implement change management plans to assist suppliers in delivering successfully.
- Manage supplier categorization, resolve invoice discrepancies, and administer vendor approvals and contractor onboarding.
- Monitor and proactively manage contract expiries, contract data, and procurement card expenditures.
- Administer conflict of interest and approval procedures.
- Provide contract administration support, including advice, training, documentation review, and managing the contract repository.
- Review supplier performance and monitor KPIs, SLAs, and rebates.
- Maintain effective document control and administrative support, including record keeping, email management, correspondence drafting, office supplies ordering, and project reporting.
Desired Skills and Qualifications
- Experience with business process analysis, data analysis, and visualization tools such as Excel, Power BI, SharePoint, ARIS, and Visio.
- Ability to investigate issues and present findings clearly to stakeholders.
- Understanding of procurement categories, government interfaces, and KiwiRail's operational context.
- Strong communication skills across organizational levels including presentations.
- Good decision-making abilities and political awareness.
- Flexibility, practicality, customer focus, and a commercial mindset.
- Commitment to diversity and fostering an inclusive workplace.
- Ability to clear regular drug and alcohol screenings.
- Possession of a current valid New Zealand Driver's Licence.
- Relevant tertiary degree in business, law, or project management, or comparable post-tertiary experience.
- Preferably holds industry certifications related to the procurement field.
