About the Role
The Program Manager works alongside the Chief of Staff to turn strategic priorities into day-to-day execution across the organisation. This position is responsible for keeping governance forums organised, maintaining operating rhythms, tracking strategic projects, and pulling together clear decision-making information.
Responsibilities
Governance forum coordination
- Set up, coordinate, and support all governance meetings led by the Chief of Staff, including monthly operating reviews, quarterly strategy alignment sessions, and occasional briefings.
- Prepare agendas, briefing notes, minutes, action trackers, and follow-up records.
- Make sure every forum runs with clear structure and strong discipline.
Operating cadence management
- Own and keep the operating calendar moving.
- Organise recurring check-ins with Country CEOs, Group SLT members, and their teams.
- Track upcoming decisions, briefing needs, and any missed cadence points.
- Keep the process moving proactively without needing reminders.
Strategic project tracking
- Maintain the key strategic projects register for all active initiatives led or overseen by the Chief of Staff.
- Monitor progress, risks, dependencies, and escalations.
- Prepare updates that are ready for decision-making by the Chief of Staff.
- Identify changes in RAG status and highlight projects that may slip through the cracks.
Information synthesis and document production
- Turn inputs from country teams, functional leaders, and market information into concise, decision-ready material.
- Draft executive briefs, board papers, principal pre-reads, and strategic summaries.
- Ensure all output is polished, well-formatted, and appropriate for principal-level review.
Stakeholder coordination
- Coordinate with Country CEOs and direct-report office teams on behalf of the Chief of Staff.
- Work with EA/PA networks on calendars, travel, and meeting arrangements.
- Keep the Chief of Staff fully informed, prepared, and never caught off guard.
CEO office administration
- Maintain CEO Office tools, registers, trackers, and operating documents.
- Improve templates, tracking tools, and governance materials over time.
- Handle document control, filing standards, and knowledge management for the Chief of Staff Office.
Qualifications
- A bachelor's degree in program management or a related field is required.
- At least 6 years of experience in program management is needed.
- Background in office coordination or governance within a complex multi-country environment is required.
- Prior experience in a CEO Office or a similar senior office is strongly desirable.
- Knowledge of governance frameworks, board reporting, and cross-functional project management is essential.
