Job Overview

The HVAC Service Estimator position involves the preparation of precise cost assessments for commercial and residential HVAC repair and replacement projects. This role requires collaboration with field technicians, service coordinators, suppliers, and customers to analyze service reports, derive pricing, develop proposals, and ensure smooth project execution after approval.

Key Responsibilities

Analyze technician reports, service documentation, and site images to define project requirements.
Develop detailed estimates for HVAC repairs, replacements, and retrofit jobs including material, labor, and equipment calculations.
Request quotations and pricing from vendors and subcontractors.
Prepare and submit proposals to customers within stipulated timeframes.
Monitor proposal progress, follow up on outstanding estimates, and keep estimating records updated.
Compile job handoff packages once projects are approved.
Coordinate with service coordinators and operations teams to ensure effective project handoffs.
Communicate with customers concerning estimate status and project scope.
Issue purchase orders and organize procurement of materials as necessary.
Track lead times for equipment and check availability of materials.
Maintain accuracy of estimation information within company software systems.
Support identification of cost-saving measures and process improvements.
Carry out additional duties as assigned.

Candidate Requirements

Between 2 and 5 years of relevant experience in HVAC estimating, service coordination, or field service roles.
Understanding of commercial and residential HVAC systems, components, and repair methodologies.
Capable of interpreting technician reports and project documents accurately.
Skilled in creating labor and material estimates.
Proficient in Microsoft Office 365 applications, especially Excel.
Experience working with estimating software, CRM platforms, or related business tools.
Excellent organizational and time management capabilities.
Strong written and verbal communication skills.
Ability to manage several projects simultaneously and meet deadlines consistently.

Preferred Qualifications

Background in commercial HVAC service settings.
Familiarity with COINS software or similar ERP systems.
Experience in coordinating with vendors and subcontractors.

Physical and Other Requirements

Capability to remain seated for prolonged periods during computer work.
Occasional lifting up to 25 pounds as required.
Effective communication via phone and email is essential.
Periodic travel to job sites may be necessary.
