Role Overview

We seek a Senior Program Manager to act as the operational owner and expert for Bizee Pro, distribution partnerships, and new processes related to entity management, compliance, registered agent services, virtual address, and virtual mail.

This role combines deep domain knowledge with operational transformation experience. The successful candidate will be familiar with business formation, entity management, registered agent duties, annual reports, foreign qualifications, amendments, certificates of good standing, virtual address and mail processes, USPS 1583, and CMRA workflows. They will also have a track record of modernizing service delivery, minimizing manual tasks, enhancing customer outcomes, and building scalable operations across teams and technologies.

This is a core internal operations leadership role responsible for ensuring new workflows function reliably at scale, defining responsibilities, handoff points, system usage, compliance requirements, documentation, reporting, and transforming manual efforts into repeatable processes.

Key Responsibilities

  • Serve as the Subject Matter Expert on entity and compliance operations covering business formation, entity management, registered agent, compliance filings, annual reports, foreign qualifications, amendments, certificates of good standing, virtual address, virtual mail, USPS 1583, and CMRA workflows.
  • Collaborate with Commercial Growth, Partner Success, Product, Engineering, Fulfillment, Support, Legal, Compliance, Finance, and Data teams to clarify operational feasibility and workflow requirements before launch.
  • Identify operational deficiencies from partner and customer feedback; translate these into scalable workflows, operating rules, and product requirements, such as bulk and automated annual report filings, configurable notifications, SOP preferences, compliance validations, document access, and multi-entity management.
  • Design, document, and operationalize new workflows for Bizee Pro, distribution partners, partner portals, API-enabled processes, and future AI-agent integrations, mapping end-to-end operations including intake, order processing, fulfillment, status tracking, documentation, billing, reporting, support, and escalation.
  • Drive modernization efforts embedding automation, AI, and workflow technologies to streamline user journeys, reduce manual work, enhance speed, accuracy, and consistency, and create unified operating models blending technology, processes, and team empowerment.
  • Support the development of a digitized national fulfillment infrastructure across formation, compliance, registered agent, virtual address, virtual mail, and distribution channels by converting manual, fragmented fulfillment methods into standardized workflows, tools, and controls.
  • Prepare new partner and commercial workflows for launch, ensuring clear operational requirements, documented handoffs, support structures, escalation protocols, compliance checkpoints, and notification standards.
  • Create and maintain comprehensive process documentation, including workflow diagrams, SOPs, exception protocols, support guides, escalation rules, and operational manuals.
  • Continuously identify operational inefficiencies and collaborate with Product and Engineering to implement process improvements, tooling upgrades, automation, enhanced reporting, entity data management, billing optimizations, and operational visibility enhancements.

Candidate Profile

  • Minimum of 7 years' experience in operations, service delivery, fulfillment, partner or compliance operations, business formation, registered agent services, process improvement, or similar fields.

  • Identify and prioritize workflow gaps including bulk filings, automatic reports, mail notifications, SOP handling, entity updates, document access, and compliance visibility.
  • Translate identified gaps into operational and product requirements with clear ownership, risks, and launch readiness.
  • Commence documentation of key workflows and exception procedures.

  • Deliver documented operating playbooks, handoffs, support channels, compliance checkpoints, notification and escalation processes for new partner and Bizee Pro workflows.
  • Establish launch-readiness checklists for new distribution partnerships.
  • Implement tracking and prioritization of recurring issues, converting them into process and tooling enhancements.
  • Reduce manual intervention and ambiguity as partner volume increases.
