Key Responsibilities
- Act as the principal client contact and leader for designated programs, managing communications and expectations.
- Analyze client requests and conduct qualification discussions to gather all necessary details for accurate sourcing efforts.
- Design and execute program strategies, including negotiation tactics, to secure optimal pricing and value enhancements aligned with client needs.
- Stay informed on emerging travel destinations, cost-effective options, and promotional deals to offer clients comprehensive solutions.
- Coordinate the Request for Proposal (RFP) process to obtain competitive offers on room blocks, event logistics, and pricing from hotels and suppliers.
- Negotiate critical contract terms with suppliers, adapting company policies to meet unique client requirements while adhering to guidelines.
- Ensure strict record keeping, timely system updates, and complete file management per company and client protocols.
- Conduct final price and concession negotiations to fulfill budget objectives and monitor supplier option deadlines.
- Provide suppliers with all relevant documentation upon contract execution, maintain meeting records in management systems, and fulfill all internal program documentation before handover.
- Collaborate with clients continuously to meet program goals, ensure satisfaction, and coordinate with third-party suppliers to negotiate services as necessary.
Candidate Requirements
- Bachelor’s degree with at least four years of experience in hotel or venue sourcing and contracting.
- Demonstrated negotiation expertise and deep knowledge of domestic hotels and international destinations.
- Experience with program management systems, preferably including online sourcing tools such as Cvent.
- Proven track record developing and maintaining strong relationships with clients and suppliers.
- Comprehensive understanding of program/event management along with budget oversight.
