Position Overview
This role, offered by a partner company based in Canada, merges daily administrative functions with recruitment assistance, playing a key part in maintaining operational efficiency while supporting recruitment initiatives during hiring phases. It suits candidates who thrive on organization, variety, and collaborative teamwork across geographically dispersed operations.
Key Duties
- Provide ongoing administrative assistance to operational staff and leadership for seamless business operations.
- Keep detailed records, trackers, spreadsheets, and documentation accurately maintained.
- Compile reports, correspondence, documents, and weekly summaries to support operational activities.
- Coordinate meetings, schedules, calendars, and timely follow-up to ensure progress on priorities.
- Manage emails and routine communications efficiently within the team.
- Maintain organized filing systems to ensure information accessibility and currency.
- Work closely with team leaders and field personnel to assist with everyday operational requirements.
- During recruitment periods, screen candidate applications and resumes thoroughly.
- Conduct preliminary telephone screenings assessing candidates' fit, availability, and qualifications.
- Arrange interviews and maintain up-to-date applicant tracking records.
- Track recruitment activities across job sites and suggest improvements.
Candidate Requirements
- Exceptional organization and ability to handle multiple tasks with high attention to detail.
- Strong written and verbal communication skills, professional and clear.
- Comfortable learning and utilizing spreadsheets, email platforms, and various software tools.
- Demonstrated ability to work autonomously, taking responsibility for tasks through to completion.
- Dependable with efficient time management and self-directed work approach.
- Availability for full-time hours including some evenings and weekends.
- Must be legally permitted to work in Canada.
- Prior experience in administration, office coordination, recruitment, customer service, or call center roles is beneficial.
- Knowledge of applicant tracking systems and data management solutions is an advantage.

- Hourly wage of $19.50 plus additional on-target earnings (OTE).
