Position Overview
The Business Operations Coordinator plays a critical role in overseeing, directing, and managing operational activities to fulfill client expectations while advancing company objectives. This position is fully remote, with specific location expectations discussed during the hiring process.
Key Responsibilities
- Prioritize and enforce workplace safety, ensuring all employees adhere to safety protocols.
- Support Service Managers with daily coordination and management of business operations.
- Monitor and control business processes to align with client needs and company goals.
- Act as a liaison between customers and management to facilitate seamless operation delivery.
- Organize and manage project tasks to guarantee completion within budget and schedule constraints.
- Ensure strict compliance with company standards and procedures.
- Develop and sustain strong customer relationships through regular communication and meetings.
- Lead and document internal project meetings with diverse stakeholders, including writing meeting minutes.
- Coordinate and record external project meetings.
- Effectively manage and resolve multiple high-priority project issues in a timely manner.
- Assess ongoing operational performance and devise strategic improvement plans.
- Guide internal teams towards meeting performance targets.
- Identify and swiftly address operational process issues.
- Follow established operating procedures to optimize business operations.
- Maintain detailed and accurate documentation for operational procedures.
- Perform essential administrative tasks efficiently.
- Establish and maintain organized project filing systems.
- Validate vendor invoice cost codes.
- Prepare and document extra work orders.
- Communicate change orders to subcontractors and follow up as required.
- Create subcontracts and purchase orders.
- Assist Service Managers with monthly job profitability reviews and collaborate with teams to achieve profitability objectives.
- Track and review CMMS work orders for completeness and approve or reject invoicing.
- Generate invoices for project manager review and approval before submission to owners.
- Recommend process enhancements, coordinate technology implementations, and collaborate with management for operational improvements.

Qualifications
- Minimum of 2 years’ experience with contract and change order management.
- High School Diploma or GED equivalent.
- Familiarity with ERP systems.

- Experience working in a diverse, multidisciplinary employee-owned organization.
- Strong communication skills to translate vision into practical plans.
- Legal authorization to work in the U.S. without sponsorship.

Compensation
The annual salary range for this role is $60,632 to $75,733.
