About the Role
Join Parsons as a Document Controller where you'll play a crucial role in managing project documentation throughout all phases, ensuring meticulous handling, tracking, and retrieval using Electronic Document Management Systems (EDMS) such as Autodesk Construction Cloud (ACC). This position is based onsite in Riyadh, Saudi Arabia, exclusively for Saudi nationals.
Key Responsibilities
- Oversee document control processes from project start to close-out, registering, tracking, updating, and archiving documents per project and client standards.
- Convert documents to PDF and distribute electronically to designated recipients, ensuring accurate indexing, metadata application, and uploading to client Contract Management Systems and ACC.
- Maintain a physical reference library to align hard copies with electronic document records for easy access.
- Manage contract documents' status updates including workflows, revisions, approvals, and transmittals using Autodesk Construction Cloud and other EDMS platforms.
- Prepare and track documents like correspondence, reports, payment applications, variation orders, site instructions, punch lists, and NCRs within EDMS ensuring proper coding and references.
- Monitor and update submittals, safety reports, RFIs, meeting minutes, progress photos, contract issues, and drawings, ensuring authorized stakeholders have access to current approved versions.
- Generate regular reports on pending actions and document responses through ACC and other EDMS to keep project management and clients informed.
- Assist project teams with EDMS user setup, folder organization, permission assignments, workflow configurations, document numbering, and resolving document control challenges.
- Ensure adherence to Parsons' procedures, client contracts, and quality standards for document control throughout project durations.
- Coordinate internally and externally with consultants, contractors, and clients to manage document flows, rectify discrepancies, and maintain data integrity.
- Support audits and quality assessments by providing comprehensive document registers, logs, approval histories, and traceable evidence for all project phases.
Qualifications and Requirements
- Degree, diploma, or specialized training in document management or related software systems.
- At least 8 years of experience in document control with minimum 4 years handling EDMS on large projects.
- Expert proficiency in Autodesk Construction Cloud, including project setup, folder and permission management, submittals, RFIs, and design/construction documentation control.
- Comprehensive experience covering full project lifecycle document control from start to close-out using integrated project services.
- Strong command of English with excellent technical writing and communication capabilities.
- Advanced computer literacy in managing electronic document and data management systems.
- Preferably, three or more years of professional experience within the Gulf region.
- Capability to effectively handle multiple concurrent projects and substantial documentation volumes systematically.
- Experience preparing detailed compliance reports and ensuring timely document responses to meet deadlines.

- Strong problem-solving skills for prompt resolution of document management and EDMS operational issues.
