Role Overview
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our Managing Director & CEO based in Darwin. The position initially offers a fixed-term contract with a significant possibility of becoming permanent. Ideal candidates thrive in dynamic environments and excel at managing multiple priorities while exercising discretion and sound judgment.
Key Responsibilities
- Deliver top-level administrative and operational assistance to the MD & CEO for seamless daily coordination.
- Oversee scheduling, prioritization, and communication for the MD & CEO, ensuring smooth meeting arrangements and effective stakeholder engagement.
- Draft and prepare precise agendas, minutes, reports, and correspondence with prompt follow-up.
- Serve as a liaison connecting the MD & CEO with internal teams, Board members, governmental entities, and industry collaborators.
- Plan and coordinate corporate events, sponsorships, and functions, managing logistics and financial processes.
- Organize domestic and international travel plans including itineraries, accommodations, and expense management.
- Manage legal and compliance documentation, including licenses, certifications, and contractual correspondence.
- Maintain meticulous records, filing, and document control to ensure accessibility and currency of information.
- Support financial operations such as invoice processing and expense reconciliations.
- Handle sensitive business and personal matters of the MD & CEO with the utmost discretion and confidentiality.
- Coordinate personal commitments alongside professional duties for the MD & CEO.
- Provide flexible support across business and executive functions to promote continuity and responsiveness.
Candidate Profile
- Experience as an Executive Assistant or senior administrative professional supporting high-level executives in fast-paced environments.
- Exceptional organizational and time management skills capable of prioritizing multiple tasks efficiently.
- Excellent communication abilities to interact confidently with senior stakeholders, government bodies, and partners.
- Demonstrated judgment and confidence in clarifying ambiguities by asking pertinent questions.
- Strong professionalism with the capacity to manage confidential information discreetly.
- High proficiency in Microsoft 365 Suite (Word, Excel, PowerPoint, SharePoint) and other business systems.
- Detail-oriented with a commitment to producing precise and quality work.
- Ability to work independently while supporting a collaborative team environment.
- Experience in managing event planning, travel scheduling, and executive logistics.
