About the Role
We are seeking a skilled Executive Assistant to join our team on a 2-month contract basis, located onsite in Menlo Park, CA. This role involves a broad range of administrative duties supporting Observe Leadership and contributing to team operations and initiatives.
Key Responsibilities
- Manage and maintain complex calendars for Observe Leadership efficiently.
- Coordinate intricate travel arrangements and handle executive and team expenses.
- Organize and sustain team mailing lists, digital folders, and shared drives.
- Plan and execute team events with precision and attention to detail.
- Serve as the first point of contact for employee and guest inquiries, connecting them with appropriate resources.
- Welcome executives' visitors, including interviewees and customers, ensuring all guests sign in upon arrival.
- Participate in team meetings, monitor action items, assist in daily projects, and support process and system improvements.
- Lead projects and manage the operations of various programs and initiatives within the Observe team.
- Act as the primary liaison for scheduling meetings and coordinating external engagements with customers and partners.
- Manage small-scale projects within the administrative team and perform additional tasks as assigned.
Candidate Requirements
- Bachelor’s degree with at least 5 years of relevant experience in executive support, project management, and event coordination.
- Strong time management skills with the ability to prioritize tasks across multiple stakeholders and functions simultaneously.
- Outstanding communication and interpersonal skills, with a proactive approach to building productive relationships.
- Experience developing and implementing systems, processes, or programs that enhance efficiency.
- Positive attitude and eagerness to engage in diverse projects.
- Resourceful, curious self-starter capable of making logical, independent decisions in a fast-paced environment.
- Exceptional organization skills and attention to detail, coupled with responsiveness.
- Alignment with Snowflake's core culture and values.
- Comfortable with technology and experienced in working with all organizational levels, including management, staff, vendors, and clients.
