Position Summary
The Executive Assistant role entails handling confidential, clerical, and administrative duties that support the broader team. This includes managing complex schedules, generating correspondence, overseeing travel arrangements, and organizing documents for meetings.
Key Responsibilities
- Execute a diverse range of professional administrative duties such as managing appointments, processing expense reports, preparing correspondence, organizing detailed travel plans and meeting agendas, and assembling travel-related documents.
- Maintain confidentiality of all company correspondence, files, and meetings.
- Take initiative on critical deliverables, including drafting letters and correspondence to assist department leadership.
- Manage projects and special assignments by setting objectives, prioritizing tasks, coordinating with others, tracking progress, resolving issues, and adjusting plans as needed.
- Undertake advanced administrative tasks such as communication preparation, reservation management, and meeting agenda development.
- Attend team meetings and produce summaries when required.
- Oversee company milestone and recognition programs.
- Provide departmental backup support as necessary.
- Act as a Strategic Planning auditor by participating in quarterly and annual meetings, preparing departmental metrics, and assessing progress.
- Maintain department SharePoint sites and champion Office 365 usage.
- Engage in corporate responsibility initiatives including recycling, social causes, and volunteer opportunities.
- Demonstrate leadership in environmental, social, and corporate governance efforts consistent with Milo’s Responsibility commitments.
- Assume food safety responsibilities related to the position.
- Perform any other duties assigned.
Qualifications
- Bachelor’s degree (B.A. or B.S.) preferred, or 5-7 years of relevant experience or equivalent education and experience combination.
- Ability to comprehend and interpret reports and written communications.
- Strong spelling and grammar skills, excellent telephone etiquette, ability to meet deadlines, and review one’s own work thoroughly.
- Proficiency in Microsoft Office Suite including Outlook, Word, Excel, and PowerPoint.
