Role Overview
The Executive Assistant will be key in supporting Titan’s Chief of Staff and founder/CEO by managing critical operational functions. Responsibilities include handling complex scheduling across clients, coaches, and investors, managing multiple inboxes, drafting communications for clients and coaches, overseeing contracts and billing coordination, and maintaining the customer relationship management system (Attio). The role requires diligent adherence to established procedures while identifying improvements.
Responsibilities
- Manage executive calendars and inboxes, coordinating appointments with multiple stakeholders.
- Draft and send communications to clients and coaches.
- Coordinate contracts and invoicing processes efficiently.
- Maintain and update the CRM system.
- Follow detailed playbooks accurately and contribute feedback for process enhancement.
Required Experience and Skills
- 3 to 5+ years of experience as an Executive Assistant in a demanding, high-velocity environment.
- Advanced capability in executive calendar management, event organization, confidential communication handling, and automation tool utilization.
- Understanding of early-stage startups and the ability to work independently and quickly.
