Role Overview
We are looking for a detail-oriented and proactive HR Operations Coordinator to support our expanding human resources team. This role plays a critical part in facilitating smooth HR processes such as onboarding, maintaining accurate employee files, administering benefits, tracking compliance, and managing HR systems. The coordinator will collaborate closely with multiple departments to ensure seamless new hire integration and ongoing support, act as a resource for routine HR questions, and contribute to fostering a respectful, efficient workplace.
Key Responsibilities
- Manage pre-employment processes including background checks, drug screenings, and onboarding paperwork.
- Assist in organizing new hire orientation sessions, scheduling, preparing materials, and communication.
- Facilitate virtual onboarding for remote employees using electronic documentation and system access coordination.
- Ensure accuracy and completion of all new hire documentation.
- Work collaboratively across departments to ensure smooth onboarding experiences.
- Maintain and update employee records and electronic personnel files in HR systems.
- Process updates related to job changes, department transfers, supervisors, and employment status.
- Prepare employee verifications, policy acknowledgments, HR correspondence, and other documentation.
- Create and maintain reports, spreadsheets, and tracking tools related to HR data.
- Assist with benefits administration, including enrollment, eligibility, life event updates, and vendor coordination.
- Maintain confidentiality handling sensitive benefits, medical, and leave information.
- Support compliance activities like I-9 verifications, audits, and tracking submissions.
- Administer training assignments and manage certifications and acknowledgments.
- Address routine HR inquiries, directing employees or managers as needed.
- Participate in employee engagement, recognition programs, and internal communications.
- Maintain data accuracy in HRIS and related platforms, monitor tasks, generate reports, and suggest process improvements.
- Contribute to HR process improvement projects and system data clean-up.
Qualifications
- High school diploma or equivalent education required.
- 1 to 3 years of experience in administrative, HR, payroll, benefits, onboarding, or similar roles.
- Ability to handle confidential information with discretion.
- Proficient with Microsoft Outlook, Word, Excel, and Teams.
- Willingness and ability to learn HR information systems, onboarding platforms, payroll, and document management systems.
- Exemplary attention to detail, organization, and follow-through skills.
- Capability to manage multiple priorities and meet deadlines effectively.
- Prior HR experience, coursework, or familiarity with HRIS/onboarding systems is beneficial but not mandatory.
