Role Overview
The Inventory Coordinator for Spare Parts plays a critical role within Operations/Service/Stores departments to ensure the availability, management, and traceability of spare parts inventories. This includes overseeing stock levels, coordinating procurement and receipt, managing dispatch and returns, and maintaining compliance with company policies for uninterrupted service delivery.
Key Responsibilities
- Monitor inventory levels promptly following service complaints to ensure spare parts availability.
- Raise purchase requisitions when stocks fall below minimum thresholds and coordinate purchase orders with approved vendors, ensuring correct part information.
- Maintain minimum stock levels as per established company standards.
- Physically verify incoming shipments for quantity, correct part numbers, and condition.
- Ensure Goods Receipt Notes (GRN) are prepared alongside invoices and delivery challans.
- Update stock registers or the inventory system after receipt processing and report any shortages or damages to the department head.
- Facilitate timely issuance of spare parts to technicians directly or via courier and accurately maintain dispatch details including courier service, AWB numbers, and receiver information.
- Track shipments until delivery confirmation is received and formally close dispatch records with proof of delivery.
- Collect old or replaced spares post-service with detailed lists, photographic evidence, and condition reports; obtain acknowledgements for returns and manage scrap disposal in accordance with company guidelines.
- Maintain comprehensive and precise documentation for all stock movements ensuring complete traceability from receipt to final disposal.
- Adhere strictly to Standard Operating Procedures and internal controls to maintain compliance.
Required Qualifications and Experience
- Graduation or Diploma in Operations, Supply Chain, Engineering, or a related field.
- Two to five years of experience in stores management, inventory control, spare parts handling, or warehouse operations, preferably within service or engineering contexts.
Essential Skills
- Expertise in inventory and stock control processes.
- Strong understanding of documentation and Goods Receipt Note procedures.
- Competence in managing dispatch logistics and coordination.
- Familiarity with ERP or inventory management systems is advantageous.
- Keen attention to detail with good coordination and follow-up abilities.
- Problem-solving skills with a strong sense of responsibility and reliability.
