Role Overview
The Material Expediter is tasked with overseeing and accelerating procurement, manufacturing, logistics, and delivery processes to guarantee the availability of materials aligning with project timelines. This position demands close collaboration with suppliers, freight forwarders, procurement, warehouse, site teams, and project management to prevent delays and ensure efficient material movement throughout projects in Saudi Arabia.
Key Responsibilities
- Maintain an up-to-date Project Material Tracker showcasing the precise status of purchase requests, orders, production, shipments, and deliveries.
- Engage suppliers regularly to secure timely order acknowledgments, monitor production progress, and coordinate dispatch schedules adhering to project plans.
- Keep a close watch on critical materials and promptly inform procurement and project teams of any potential delays.
- Liaise with vendors to acquire production timelines, inspection schedules, and shipping information.
- Align procurement delivery deadlines with project execution needs.
- Follow up on pending approvals, documentation, and material submittals that may impact procurement progress.
- Compile and distribute weekly material status reports to management and project stakeholders.
- Maintain comprehensive records of purchase orders, packing lists, delivery notes, and inspection reports.
- Identify supply chain risks and suggest corrective measures to prevent project delays.
- Assist the procurement team in addressing vendor performance challenges.
- Ensure adherence to company procurement policies and project requirements.
- Coordinate local material collection and transportation within KSA, ensuring timely pickups from suppliers and deliveries to warehouses or sites.
- Oversee international shipments by collaborating with freight forwarders, customs clearance agents, and transporters to facilitate smooth import/export operations.
- Monitor logistics documentation such as Bills of Lading, Air Waybills, Commercial Invoices, Packing Lists, and Customs Documents to guarantee compliance with Saudi regulations.
Qualifications & Requirements
- Bachelor's degree or diploma in Supply Chain, Logistics, Business Administration, or related disciplines.
- Three to five years of experience in procurement expediting, logistics coordination, or material control, preferably within system integrator companies or fast-tracked projects.
- Experience managing both local and international logistics, including customs clearance and freight forwarding.
- Knowledge of Saudi Arabian import/export regulations and transportation protocols.
- Excellent follow-up, communication, and coordination skills with suppliers and internal departments.
- Proficiency in Microsoft Excel, Enterprise Resource Planning (ERP) systems, and material tracking/reporting software.
- Good command of English; Arabic language skills considered a plus.
- Capability to perform well under pressure and manage multiple priorities within tight project schedules.
