Job Summary
The Program Manager for Academic Records acts as the primary contact for all queries and handling of academic records within the University Registrar’s office. This role involves managing transcripts, enrollment and degree verifications, licensure documentation, and updating student records. Reports to the Associate Registrar for Academic Records and works in a hybrid setting, combining on-site presence several days per week with flexible arrangements.
Key Responsibilities
- Coordinate and apply all student record modifications including curriculum changes, status updates, withdrawals, and leaves of absence.
- Develop and optimize business processes to reduce errors and remove redundancies in academic record handling.
- Supervise the preparation and upkeep of student transcripts and academic records.
- Maintain electronic filing systems essential to the Registrar’s office functionality.
- Manage the operational email accounts related to the University Registrar’s office.
- Ensure accuracy and integrity of academic data and regularly evaluate business practices concerning academic records.
- Support compliance with FERPA policies and procedures.
- Provide backup assistance to the Assistant Registrar for Academic Records and collaborate with senior registrar leadership.
- Work closely with Drexel Central on queries about grading, transcripts, and records.
- Assist in training staff across academic records functions.
- Deliver exceptional customer service to all administrative stakeholders concerning academic records.
- Adhere to the operational calendar of the Registrar’s office.
- Perform additional duties as assigned by management.
Required Qualifications
- High school diploma or GED minimum.
- At least one year experience in Registrar or Student Services environments.
- Strong organizational and planning capabilities.
- Proficient in report generation using tools like Office 365.
- Excellent analytical thinking and problem-solving aptitude.
- Demonstrated strong customer service skills.
- Capable of working independently and collaboratively with minimal supervision.
Preferred Qualifications
- Associate degree preferred.
- Experience in customer-facing or service roles valued.
- Effective interpersonal communication skills.
- Skill in creating operational documentation.
- Familiarity with Banner student information system in an academic context.
- Knowledge of FERPA regulations advantageous.
Additional Information
This exempt position is classified at grade J, with salary ranging from $52,360 to $78,530 annually. Compensation is set based on candidate qualifications, experience, departmental budget, and internal equity reviews.
