About the Role
Join the team responsible for delivering the Bus Solution component of the Opal Next Generation (ONG) program, a transformative initiative enhancing how passengers navigate, pay, and access real-time data across the NSW Opal-enabled bus network. As a Project Coordinator, your role will be pivotal in ensuring the smooth and organized execution of project tasks, fostering communication between internal teams, delivery partners, and key stakeholders.
Key Responsibilities
- Oversee daily coordination of ONG project activities, tracking milestones, dependencies, and action items.
- Assist in onboarding, access approvals, inductions, and internal/external project kick-offs.
- Maintain core project documentation such as schedules, action registers, RAID logs, decision logs, and status reports.
- Translate contract and scope details into structured project documents and tracking tools.
- Support Program Director and PMO in embedding structured project management rhythms and standards.
- Coordinate input across multiple teams including engineering, software, hardware, operations, customer success, and finance.
- Ensure all coordination outputs align with quality standards and PMO timelines.
- Support governance and reporting processes, including documentation of assurance checkpoints and reporting cycles.
- Prepare accurate project reports and governance materials for steering committees and executives.
- Manage change control processes including tracking variations and approvals.
- Coordinate Indigenous engagement activities by collaborating with First Nations partners and sub-contractors, maintaining culturally sensitive communications and reporting.
- Maintain Indigenous engagement plans, participation tracking, and procurement commitments, providing governance and audit-ready reports.
- Assist in financial tracking such as budgets, expenditures, forecasts, invoicing, and milestone revenue administration.
- Support stakeholder engagement coordination including meetings, material preparation, and action tracking.
- Maintain RAID logs, support risk and issue escalation, and track deliverables for quality assurance.
- Facilitate system deployment transition activities including handover documentation and training materials.
Desired Qualifications and Skills
- Experience supporting complex projects or programs, ideally in government, transport, or technology sectors.
- Excellent organizational skills with attention to detail and ability to manage multiple priorities.
- Strong verbal and written communication abilities.
- Familiarity with project management methodologies and PMO frameworks.
- Proficiency with project management tools, document control, and reporting software.
- Experience with stakeholder or community engagement, preferably within a government or regulated context.
- A proactive, solution-oriented approach.
- Understanding of First Nations cultural protocols and engagement, through training or experience.
- Tertiary education in business, project management, or related fields is preferred.
- Based in Sydney with ability to attend on-site at project-related locations up to four days per week.
- Willing to travel occasionally, including interstate and internationally, to coordinate with global engineering teams.
