Role Overview

This position is responsible for running the parts and inventory warehouse efficiently. The Warehouse Administrator will oversee the receipt, storage, movement, and traceability of spare parts, tools, and accessories used to maintain and repair heavy equipment such as excavators, AWPs, and telehandlers. The role is important for reducing machine downtime and helping the workshop operate smoothly.

Inventory and Warehouse Control

• Accept incoming parts, tools, and supplies, then check and log quantities and condition against purchase orders and delivery paperwork.
• Organize items with clear labels and bin locations so stock can be found quickly and stored in a structured way.
• Watch stock levels closely and raise purchase requests for essential items before shortages affect operations.
• Carry out routine cycle counts and full physical stock checks to keep system data fully aligned with actual inventory.
• Issue parts to workshop technicians and field service engineers only against approved job cards and work orders.
• Keep the warehouse clean, orderly, and protected while complying with health, safety, and environmental rules.

Records and Systems

• Maintain accurate entries in the company inventory platform, including ERP or CMMS tools such as Oracle or SAP.
• Record stock receipts, issues, returns, and transfers without delay.
• Prepare reports covering inventory levels, item movement, and stock mismatches.
• Support invoice processing for supplier reconciliation.

Tooling and Workshop Support

• Oversee the tool library so calibrated tools and special tools are properly issued, returned, and maintained.
• Make sure key consumables such as oils, filters, greases, and PPE remain available for workshop use.

Coordination

• Work with the Maintenance Manager, Workshop Supervisors, and Procurement team to estimate demand and improve logistics flow.
• Coordinate with suppliers on defective-item returns and follow up on outstanding back-orders.
• Escalate any quality concerns with received parts as soon as they are identified.

Qualifications and Experience

The ideal candidate should hold a bachelor’s degree, preferably in a relevant field. A diploma in Logistics, Supply Chain Management, or a similar area is considered an advantage. You should have 3 to 5 years of experience in a warehouse-in-charge, supervisory, or similar inventory-focused role, ideally in heavy equipment, automotive, construction, or industrial machinery settings. Strong knowledge of mechanical spare parts such as filters, hoses, bearings, seals, and electrical components is required. Practical exposure to inventory software and solid MS Office skills, especially Excel for analysis and reporting, are also important.

Additional Information
