Role Purpose
The Executive Secretary will provide polished, professional support to senior leaders while fostering a positive office atmosphere. This role demands excellent interpersonal skills, impeccable business etiquette, and confident communication with stakeholders at all organizational levels. The position functions as a vital liaison internally and externally, requiring the adept management of various priorities while maintaining confidentiality and a welcoming office environment.
Primary Responsibilities
- Provide comprehensive secretarial support to the Asia Pacific CEO, managing calendars, appointments, travel arrangements, and preparing meeting materials.
- Coordinate executive meetings and handle correspondence timely and accurately.
- Process expense claims for the CEO and Chairman.
- Assist senior management with travel and meeting itineraries.
- Serve as the initial point of contact for visitors and manage reception duties, including phone calls, mail, and deliveries.
- Ensure the office maintains a professional, welcoming atmosphere.
- Oversee daily office operations such as managing supplies, pantry stock, facilities, vendor relations, and coordinating with building management and service providers.
- Support new employee onboarding and office-related activities.
Required Qualifications and Skills
- 3 to 5 years experience in executive assistant, personal assistant, office management, front office, or similar administrative roles.
- Proven track record supporting senior executives, managing demanding schedules, and coordinating travel and events.
- Experience in professional corporate environments, ideally financial services, insurance, or related sectors.
- Excellent written and verbal communication skills coupled with strong business etiquette.
- Outstanding organizational abilities with keen attention to detail and proven multitasking capabilities.
- Discretion and ability to handle confidential information with professionalism.
- Capable of working independently while forging strong relationships at all organizational levels.
