Role Overview
The Front Office Specialist serves as the initial contact point for patients, establishing a welcoming and professional atmosphere aligned with EyeCare Partners' Total Patient Experience principles. This role supports smooth patient check-in and check-out processes while managing vital administrative tasks to ensure efficient operations.
Work Environment
The position is primarily based in a standard office or clinical environment, with potential travel to other locations as duties require.
Key Responsibilities
- Champion the Total Patient Experience by fostering strong patient relationships and delivering excellent service.
- Provide high-quality customer service in every interaction, whether face-to-face or over the phone.
- Maintain a professional demeanor by promptly greeting patients with warmth and thanking them at departure.
- Manage inbound and internal calls courteously and efficiently.
- Prioritize urgency in all tasks to respect both patients' and doctors' time and schedules.
- Verify insurance authorizations thoroughly and create accurate flow sheets.
- Process patient check-out and correctly collect payments per company protocols.
- Oversee patient flow to optimize office efficiency and service quality.
- Perform daily cash reconciliations, close out the day, and manage cash drawer balances carefully.
- Adhere strictly to company policies and procedures, including HIPAA compliance.
- Complete additional office duties and maintain cleanliness as directed by management.
Qualifications
- Prior experience in a medical office setting is preferred; experience within ophthalmology is highly advantageous.
- At least one year in a role involving direct customer or patient interaction, or an equivalent blend of education and experience.
- Successful passing of state-mandated background checks.
- Legal authorization to work in the United States with valid proof of identity.
Education
A high school diploma or GED is mandatory.
Technical Skills
- Proficiency in Microsoft Office Suite including Excel, Word, PowerPoint, and Outlook.
Physical Demands
- The role involves significant physical activity including frequent walking (~75%), sitting (~50%), and standing (~50%).
- Tasks include bending, stooping, reaching (25-50%), and occasional lifting, carrying, pushing, or pulling up to 25 pounds.
- Excellent fine motor skills required for typing, grasping, and operating technology.
- Visual and auditory skills such as color perception, depth, peripheral awareness, and focus adjustment are essential continuously during work.
- Occasional driving and climbing might be necessary.
