Overview
We seek a meticulous and well-organized Admin & Inventory Executive to oversee office administration, inventory management, and recruitment assistance within our facility management operations based in Delhi-NCR. The candidate will be responsible for maintaining accurate inventory records, coordinating with facility managers, supervisors, and vendors, managing administrative tasks, and supporting hiring efforts for various technical and non-technical roles.
Primary Duties
- Maintain precise records of uniforms, tools, PPE, consumables, stationery, and other inventory items.
- Monitor inventory stock levels to ensure prompt replenishment.
- Keep detailed inward and outward registers documenting inventory movements.
- Liaise with vendors for procurement and delivery processes.
- Conduct regular physical stock audits and reconcile any variations.
- Generate weekly and monthly inventory reports.
- Ensure appropriate storage and tracking of company assets.
- Manage daily office administration including paperwork, vendor coordination for office maintenance, courier services, utilities, and housekeeping arrangements.
- Support management with operational and administrative tasks to ensure smooth office functioning.
- Assist in recruiting technical and non-technical personnel including electricians, plumbers, masons, technicians, housekeeping staff, security guards, gardeners, and multi-skilled workers.
- Arrange interviews and coordinate with department leads.
- Maintain recruitment trackers and candidate records, assist with onboarding and documentation of new hires.
- Keep comprehensive employee and inventory documentation.
- Prepare management information system (MIS) reports related to inventory and recruitment.
- Maintain organized filing of purchase bills, stock registers, administrative paperwork, and assist in compliance documentation as needed.
Requirements and Qualifications
- Solid understanding of inventory and stock control management.
- Strong organizational and administrative skills.
- Basic recruitment experience, particularly in hiring blue-collar staff.
- Proficiency in Microsoft Excel, Word, and Outlook.
- Excellent communication and coordination capabilities.
- Ability to perform well under pressure while handling multiple responsibilities.
- High attention to detail and adept record-keeping.
- Graduate in any field preferred.
- 2 to 5 years of experience in administration, inventory, or operations roles.
- Experience in facility management is advantageous.
- Familiarity with recruitment of technical and non-technical manpower preferred.
- Knowledge in procurement and vendor management adds value.
