Overview
The Materials Controller ensures efficient planning, coordination, and management of materials for construction projects in civil and oil & gas sectors. This role guarantees the availability of approved materials that meet project specifications, timelines, and quality standards by collaborating closely with Procurement, Engineering, QA/QC, Planning, and Project teams.
Key Responsibilities
- Analyze contract documents, specifications, and drawings to determine material needs.
- Coordinate with relevant departments to align material procurement with project timelines and avoid delays.
- Oversee procurement progress to ensure materials are available when required on-site.
- Plan delivery schedules consistent with construction stages and site requirements.
- Develop and maintain comprehensive Material Approval Logs.
- Prepare and submit material submittals accompanied by complete technical documentation and compliance certificates.
- Engage with Consultants, Clients, and Engineers to secure timely approval of material submittals.
- Track and follow up on approval cycles, addressing any comments or concerns promptly.
- Identify risks associated with delayed approvals or non-compliance and recommend corrective measures.
- Support Procurement by facilitating timely award of purchase orders and material packages.
- Communicate with vendors and suppliers to monitor manufacturing and delivery schedules and ensure proper documentation.
- Evaluate vendor performance, report any delays or quality issues, and assist with material inspections and factory acceptance tests.
- Ensure all materials adhere to approved specifications and contractual standards.
- Review quality test reports and inspection certificates to confirm compliance.
- Collaborate with QA/QC teams for inspections and authorizations for site material usage.
- Maintain meticulous records of material submittals, approvals, deliveries, and related inspections.
- Generate regular reports summarizing material status, procurement progress, approvals, and potential risks.
- Assist in compiling material documentation necessary for project close-out, including warranties and certificates.
- Manage filing systems for material documentation to facilitate audit and project handover.
- Contribute to change management by preparing documentation for material variations, substitutions, and technical changes.
- Support impact assessments regarding time and cost due to material changes or delays.
- Proactively identify potential material-related risks and coordinate mitigation strategies with project stakeholders.
Required Qualifications and Skills
- Bachelor's degree in Engineering, Architecture, or a related technical field.
- Minimum of five years experience in material control, procurement coordination, or materials management within construction projects, particularly civil or oil & gas sectors.
- Knowledge of construction materials, associated specifications, and quality assurance standards.
- Experience managing material submittals, approval tracking, and procurement monitoring.
- Familiarity with international material standards like ASTM, BS, API, ISO.
- Strong organizational skills with excellent documentation and follow-up capabilities.
- Proficient using MS Office suite and ERP or procurement software systems.
- Ability to prioritize multiple tasks effectively within fast-moving project environments.
- Good interpersonal and communication skills to liaise with internal teams, consultants, and suppliers.
