Role Overview
We are looking for a dedicated Project Coordinator to support our Project Management teams by managing mostly internal project coordination and administration, following the company’s standards. This on-site, full-time role requires experience in general construction and involves maintaining document control, managing databases, tracking project progress, and coordinating communications within the team to meet project timelines and financial goals.
Key Responsibilities
- Coordinate resources internally and externally to keep projects aligned with scope, schedules, and budgets.
- Collaborate with managers and clients to establish project requirements, scope, and objectives in line with organizational goals.
- Maintain professionalism and courtesy when interacting with staff, subcontractors, vendors, and customers.
- Handle contract administration, including assembling relevant contract documents for subcontractor agreements.
- Maintain a contract commitment log and provide weekly status updates.
- Upload initial and executed contracts and purchase orders to the company’s electronic document management system (Build).
- Review subcontractor invoices for accuracy against contracts and approved change orders, ensuring submission of all required attachments like lien waivers.
- Ensure alignment of coordination activities with company standards.
- Support preparation, collection, management, and distribution of electronic documents and project packages.
- Attend weekly internal project status meetings and document proceedings.
- Manage the coding, distribution for approval, and tracking of vendor invoices.
- Assist Project Managers in compiling required attachments for Owner Invoices.
- Collect, process, organize, input, and file project-related data following established procedures.
- Maintain efficiency by processing information within designated timeframes.
- Monitor compliance with contractual obligations by verifying required documentation such as insurance certificates, payroll reports, and lien waivers.
- Provide general administrative assistance as needed.
- Assist in securing necessary permits and other regulatory documentation.
Qualifications
- At least 2 years of experience in project administration or as a construction coordinator is required.
- Preferred 2-5 years of general construction experience.
- High school diploma or equivalent is mandatory.
- Strong organizational and coordination capabilities to prioritize tasks and consistently meet deadlines.
- Detail-oriented with excellent written and verbal communication skills to clearly relay project requirements to the management team.
- Proficient with Microsoft Office applications.
- Ability to work independently in a fast-paced environment.
- Capable of maintaining organized, accurate project records and files.
