About the Role
An esteemed international law firm based in New York City seeks an experienced and resourceful Senior Executive Assistant to support attorneys within its Dispute Resolution practice. This position is critical in ensuring smooth coordination of attorney calendars, client engagement, case activities, and administrative operations in a fast-paced legal environment.
Key Responsibilities
- Oversee complex attorney schedules including appointments, deadlines, travel, meetings, and court obligations.
- Organize logistics and scheduling for hearings, depositions, arbitrations, mediations, client conferences, and internal meetings.
- Draft, edit, and finalize professional correspondence, memoranda, presentations, reports, and other essential documents ensuring accuracy and formatting consistency.
- Maintain litigation and case files, electronic document repositories, and related materials.
- Coordinate trial preparations such as arranging exhibits, reference documents, presentation binders, and supporting paperwork.
- Track deadlines and assist attorneys in administrative tasks to support timely deliverable submissions.
- Manage expense reimbursements, time entries, invoice processing, and other administrative financial tasks.
- Act as a professional liaison for clients, vendors, court staff, and internal parties.
- Collaborate with attorneys and business support teams to optimize workflow and operational efficiency.
Candidate Profile and Requirements
- At least 5 years' experience supporting senior staff in legal, consulting, financial services, or professional services sectors.
- Preferably has assisted legal teams involved in disputes, investigations, regulatory issues, or complex case management.
- Exceptional written communication skills to edit, proofread, and produce clear, polished business documents.
- Ability to manage multiple priorities, meet firm deadlines, and stay organized under pressure.
- Strong interpersonal and customer service skills to communicate effectively at all organizational levels.
- Advanced skills in Microsoft Office (Outlook, Word, Excel, PowerPoint).
- Experience with document management systems, matter management platforms, or legal technologies is desirable.
- Demonstrates discretion, professionalism, and sound judgment handling confidential matters.
- Self-driven team player comfortable working independently and collaboratively.
