About the Role
This multifaceted position blends front-of-house duties with executive support, event coordination, and office administration for a global investment management company known for its collaborative culture and long employee tenure. Located in Sydney, this role offers a salary of $80,000 plus superannuation and genuine potential for career growth in a supportive, high-performance workplace.
Key Responsibilities
- Serve as the primary point of contact for clients and visitors, ensuring an outstanding front-of-house experience.
- Manage all aspects of meeting room logistics, including scheduling, preparations, resolving conflicts, and maintaining premium standards for presentation.
- Coordinate catering services and handle relationships with external vendors.
- Plan and execute internal meetings, client events, and office functions from start to finish.
- Answer and professionally route phone queries.
- Provide executive assistance with diary management, expense claims, and meeting coordination for senior leadership.
- Organize quarterly investment meetings and support the Investment Division administratively.
- Prepare detailed presentations, reports, and business documents with high accuracy.
- Collaborate with the Executive Assistant team to improve administrative workflows and support strategic business projects.
- Assist on additional projects as needed to support business objectives.
Candidate Profile
- Experience in Team Assistant, Administrative Assistant, Office Coordinator, Corporate Reception, or comparable corporate support roles.
- Background in financial services, professional services, or a similar corporate sector is highly valued.
- Excellent communication skills and confidence in engaging with senior executives and clients.
- Strong organizational abilities with adeptness at managing various priorities and deadlines.
- Meticulous attention to detail, ensuring consistently high-quality output.
- A proactive, solution-oriented mindset with readiness to take initiative.
