Role overview
We are seeking an Executive Assistant based in India to support senior leadership in a remote-first, fast-growing environment. This role acts as a dependable operational partner, helping leaders stay focused on high-priority work by managing schedules, communications, coordination, and day-to-day execution.
The position is broader than a standard admin role. It calls for sound judgment, strong organization, initiative, and a hands-on approach to keeping projects, communication, and internal processes moving efficiently across teams and stakeholders.
Key accountabilities
- Own complex executive calendars, arranging meetings across time zones while safeguarding focus time and priority work.
- Prepare for internal and external meetings by organizing agendas, materials, documentation, and post-meeting follow-ups.
- Manage executive inboxes by sorting messages, drafting replies, prioritizing communication, and ensuring nothing important is missed.
- Create meeting notes, action items, and progress updates that help leaders make informed decisions.
- Arrange domestic and international travel, including schedules, lodging, and related logistics when needed.
- Handle sensitive and confidential information with care, professionalism, and accuracy.
- Monitor executive priorities, company initiatives, projects, and action points so deadlines stay on track.
- Help different teams stay coordinated and aligned on deliverables and objectives.
- Support documentation, reporting, presentations, and improvements to internal processes.
- Plan leadership meetings, company events, and operational activities.
- Keep records, resources, and documentation systems organized and easy to use.
- Serve as a communication link between executives, internal teams, clients, partners, and other external stakeholders.
- Assist with administrative work such as expense tracking, invoice coordination, and broader business operations support.
- Look for ways to streamline workflows, improve efficiency, and strengthen operating processes.
Requirements
- At least 3 years of experience supporting founders, executives, senior leaders, or other high-level stakeholders.
- Background in an Executive Assistant, Executive Operations Associate, Operations Coordinator, or similar role.
- Strong planning, organization, and time-management skills, with excellent attention to detail.
- Clear written and spoken English communication.
- Ability to manage competing demands and adjust quickly when priorities change.
- Strong problem-solving ability and confidence working independently.
- Professional judgment, discretion, and comfort handling confidential information.
- Experience managing calendars, meetings, and stakeholders across multiple time zones.
- Comfort using tools such as Google Workspace, Microsoft Office, Slack, Notion, Zoom, or similar productivity platforms.
- Experience with startup founders, technology companies, SaaS businesses, or other high-growth environments is an added advantage.
- Familiarity with AI productivity tools such as ChatGPT, Claude, or comparable platforms is a plus.
- Ability to work US business hours or align with executive schedules.
