Role Overview
The position of Operations Coordinator combines execution, problem-solving, and teamwork. The role is dynamic, encompassing executive support, cross-department coordination, vendor liaison, and everyday operations management. The job unfolds in two stages: initially, providing high-level operational assistance to a senior executive by managing calendars, communications, travel, and projects; subsequently, expanding into a broader operations coordination role with company-wide cross-functional initiatives.

Primary Responsibilities
- Manage the senior executive's calendar comprehensively, including internal meetings, leadership sessions, external calls, interviews, board meetings, and partner engagements.
- Prioritize meeting requests effectively, ensuring only critical appointments proceed.
- Schedule buffers between meetings to allow reflection and preparation time.
- Collaborate with executive assistants at external organizations to coordinate timing and logistics.
- Arrange comprehensive travel plans including flights, accommodations, and ground transport while crafting detailed itineraries.
- Monitor the executive’s email inbox to highlight urgent correspondence and draft professional responses.
- Prepare biographies, briefing documents, and background materials for events such as public speaking, interviews, and introductions.
- Leverage AI tools to enhance efficiency in communication, research, and preparation tasks.
- Act as the point of contact for executive search firms for senior-level recruitment, overseeing candidate scheduling and communications.
- Participate in interviews as an evaluator and contribute to hiring decisions.
- Create and distribute agendas for leadership meetings, record action items, and track their completion.
- Organize and execute in-person leadership offsite events including logistics, catering, and team activities.
- Lead office establishment efforts in new markets by sourcing spaces, negotiating contracts, and coordinating move-ins.
- Support operational initiatives spanning various markets and functions, facilitating coordination among field teams, installations, partner services, and others.
- Develop scalable operational processes to support company growth.
- Track project progress, follow-ups, task ownership, and deadlines to ensure consistent advancement.
- Identify and address process inefficiencies and enhance team visibility.
- Assist with basic reporting, tracking, and operational updates for key projects.
- Collaborate with team leads to reinforce consistency, accountability, and effective execution.
- Undertake special projects and problem-solving tasks as assigned.
Candidate Requirements
- A minimum of two years’ experience in roles such as executive assistant, operations, or business coordinator, ideally supporting senior executives in fast-paced environments.
- Exceptional organizational capabilities, managing multiple priorities without oversight lapses.
- Strong written communication skills, able to quickly draft clear, professional emails.
- Comfort handling ambiguity and shifting priorities with adaptability.
- Proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets); familiarity with project management and communication tools like Asana or Slack is advantageous.
- High discretion and professionalism when managing sensitive information.
- Willingness and flexibility to handle occasional evening and weekend responsibilities professionally.
- Must be physically present in Birmingham, Alabama, as remote work is not permitted.
