Role Overview
We seek a Program Manager to join Mindspan's Operational Excellence team within Operations. This position supports infrastructure that keeps operations effective across both diabetes and cognitive/dementia care sectors. The role involves improving data platforms and dashboards, managing vendor relationships supporting operations, and bridging functions between Operations, Finance, and Revenue Cycle Management. The work is project-based, typically involving 3-6 month assignments solving operational inefficiencies such as workflow redesign, SOP development, and vendor consolidation.
The role requires managing ambiguous problems independently, collaborating across clinical and operational teams, and adapting to shifting priorities. Responsibilities include data analysis, vendor management, and process improvements spanning clinical operations and data systems.
Key Responsibilities
- Function as a vital member of the Operational Excellence team, ensuring smooth operation across diabetes and cognitive/dementia care lines.
- Maintain and enhance operational dashboards and reports related to referral pathways, visit completions, provider requests, and patient churn, coordinating with Care Support and Expansion teams for data accuracy and accessibility.
- Detect and resolve systemic operational inefficiencies including tool consolidation, internal communications, and SOP management.
- Manage specific, time-limited programs (3-6 months) by collaborating with stakeholders to scope objectives, define success metrics, and implement project plans.
- Extract, cleanse, and analyze data from diverse systems like EHRs and internal tools to support dashboards and projects.
- Handle ambiguity by reprioritizing and revising plans as organizational needs evolve, communicating progress and risks effectively to executives.
- Work autonomously with sound judgment regarding escalation and progression of tasks.
- When needed, oversee vendor contracts relevant to operations (telephony, virtual mail, translation services), including renewals and issue escalations.
- Bridge between Operations and Revenue Cycle Management to ensure billing workflows are accurately captured in SOPs, and escalate systemic barriers.
Qualifications
- Bachelor’s degree required.
- At least 4 years of experience in program or project management, management consulting, business operations, or related fields, preferably including early-stage startup exposure.
- Minimum 4 years of experience in healthcare; clinical experience highly valued.
- Proven ability to perform independently and deliver results despite ambiguity and changing priorities.
- Advanced skills in spreadsheets and data handling; familiarity with SQL or other data tools is a plus.
- Strong stakeholder management skills fostering trust and alignment across clinical, operational, and executive teams.
- Proven capability to translate vague challenges into structured plans with measurable outcomes.
- Excellent written and oral communication abilities.
- Comfortable working in a fast-changing, high-growth environment.
